The Hospital Concierge role at Petco's Vetco Total Care is pivotal in providing exceptional customer care within a full-service veterinary hospital environment. This position serves as the first and last point of contact for clients, embodying the company’s mission and values while ensuring a positive experience for both clients and their pets. The Concierge is responsible for managing communications, scheduling appointments, greeting visitors professionally, and maintaining the hospital's waiting area to the highest standards of cleanliness and comfort. This role requires a balance of compassion, adaptability, and problem-solving skills to handle emotionally charged situations with empathy while supporting medical staff efficiency. The Concierge also plays a key role in optimizing daily hospital workflow by managing appointment schedules and facilitating communications during busy periods or emergencies. By fostering teamwork and maintaining clear communication, the Concierge helps promote a cohesive and motivated environment that prioritizes patient needs and delivers superior service.

As a vital member of the hospital team, the Concierge assists with training new staff, offers backup support to technical staff when needed, and ensures that clients are kept informed about scheduling changes or wait times. This position operates under the supervision of the Hospital Office Manager and the Hospital Leader on Duty, contributing significantly to the hospital’s growth and maintaining a high standard of care. Job Requirements

  • High school diploma
  • At least 1 year previous experience working in veterinary practice or a customer-facing role
  • Excellent written and verbal communication skills
  • Compassionate and sympathetic nature
  • Ability to maintain professional attitude during emotional and stressful situations
  • Exceptional telephone and computer skills
  • Team player willing to learn new techniques and treatments
  • Preferred previous experience using a Practice Management System

Job Qualifications

  • At least 1 year previous experience working in veterinary practice or a customer-facing role in another organization
  • Excellent written and verbal communication skills
  • Compassionate and sympathetic with professional attitude and demeanor during emotional and stressful situations
  • Exceptional telephone and computer skills
  • Team player willing to learn new techniques and treatments, offer creative ideas, and accept change
  • Preferred: Previous experience using a Practice Management System

Job Duties

  • Assume primary responsibility for answering the practice phone and routing calls appropriately
  • Maintain hospital appointment calendar including scheduling appointments from callers or visitors and reviewing online bookings
  • Greet all visitors to the practice
  • greet clients and patients by name as they arrive for appointments and notify technical staff when they arrive
  • Monitor wait times and make accommodations as necessary during peak or busy times, or when medical staff is dealing with an emergency situation
  • Participate in the training of new staff members and general dissemination of knowledge as required
  • Ensure that the waiting area is consistently cleaned including using special disinfectants in the case of the presence of suspected contagious disease and well-stocked with appropriate materials
  • Confirm all appointments by client’s preferred communication method prior day, and make necessary adjustments
  • Possess basic understanding of practice logistical specifics in order to provide backup support to technical staff when rooms need to be loaded or patients need to be discharged and primary staff members are otherwise occupied
