The role of Unit Secretary is integral to the smooth operation of the healthcare unit. The Unit Secretary serves as the frontline receptionist and administrative support, responsible for managing a variety of clerical functions that contribute to superior patient care outcomes. This includes entering medical orders into electronic systems accurately to minimize shortages, answering telephonic inquiries efficiently, and maintaining patient records within the electronic medical records (EMR) system. The Unit Secretary schedules appointments, manages patient charts, and ensures timely retrieval and distribution of laboratory results, consult reports, and other pertinent medical documentation.
Another critical component of this position is supporting physicians by following consult procedures with precision, notifying healthcare providers promptly, and assisting with lab work and patient lists. Prioritization skills are essential, as the Unit Secretary must respond rapidly to urgent orders such as STAT x-rays or repair requests while juggling regular duties. The role also involves greeting and assisting patients, coordinating admissions, discharges, and transfers, and facilitating any patient requests to ensure a positive experience. The Unit Secretary must maintain regular, reliable attendance, uphold cleanliness and organization in the unit, and strictly comply with all facility policies and healthcare standards.
This position requires familiarity with basic medical terminology and a comfort level with various office software, including Microsoft Office Suite. Candidates are expected to maintain confidentiality regarding sensitive patient information and adhere to HIPAA regulations rigorously. - Completion of a Unit Secretary course or Medical Terminology course preferred
- 0-2 years of receptionist or secretarial training required
- Basic Life Support (BCLS) certification obtained within 30 days of hire required
