The Transportation/Fleet Manager role at The Bay Family of Companies is a pivotal position responsible for oversight and management of the vehicle and equipment lease programs, Federal Motor Carrier Safety Administration (FMCSA) compliance, and the Transportation Management System (TMS). This role requires a dynamic leader who can effectively supervise the TMS team, serve as the primary liaison with the TMS provider, and lead critical negotiations and research to optimize transportation systems and services. The position is highly strategic and operational, directly impacting the efficiency and safety of the company’s transportation and fleet operations.

As the process owner for vehicle and equipment lease agreements, this role involves comprehensive contract administration responsibilities, including reviewing contract terms, ensuring compliance with corporate policies and legal requirements, and making recommendations for improvements or approvals. The role also entails proactive management of the Electronic Logging Device (ELD) program, vehicle tracking, and driver database management, ensuring regulatory compliance and technical support. Moreover, this role leads initiatives for deploying new transportation technologies and supports internal divisions with carrier options and maintenance services, contributing to seamless operations.

The Transportation/Fleet Manager must possess substantial experience in transportation management software and fleet oversight, including trucks, trailers, sales vehicles, and forklifts. The ability to quickly establish trust and build professional relationships both internally and externally is crucial for success in this role. Job Requirements

  • Degree in business, logistics, or related field required
  • Two or more years of experience with contract administration required
  • Three or more years of Transportation Management Software experience required
  • Experience managing a large fleet strongly preferred
  • Three to five years of prior supervisory experience preferred
  • Ability to quickly build trust and professional relationships with internal and external customers

Job Duties

  • Lead the Transportation Management System team
  • Main point of contact with Transportation Management System (TMS) provider for issues
  • Manage research, pricing reviews, and negotiations with TMS providers and carriers
  • Resolve billing disputes and freight claims with carriers
  • Lead in-fleeting and de-fleeting of vehicles and forklifts including registration and licensing
  • Lead the Electronic Logging Device (ELD) program including vehicle tracking, database management, technical assistance, training, and compliance monitoring
  • Review policies to ensure alignment with company guidelines and government regulations
  • Perform routine contract review and administration duties
  • Lead deployment of new transportation technology projects
  • Respond to carrier calls and coordinate with divisions to set up additional carrier options
  • Communicate efficiently with internal and external customers to resolve problems
  • Manage vehicle/equipment leases, fuel card, and maintenance programs
  • Oversee FMCSA compliance program and report non-compliance issues
  • Participate in freight carrier and vehicle insurance programs with recommendations
  • Perform other duties as assigned
