Located in Dublin, California, the role of Trade Show & Events Specialist at ZEISS is a vital position within the Surgical Microscope Events and Trade Shows team. This individual will be instrumental in planning and coordinating complex trade shows, events, seminars, and meetings that highlight ZEISS's innovative portfolio. With responsibilities for managing logistical operations and budgets of up to $1.5 million per event, this role demands a high level of organization, communication, and strategic oversight. The Trade Show & Events Specialist will handle diverse tasks such as researching and sharing timely trade show information, coordinating vendor contracts for hotel rooms, booth services, and installations, and providing on-site supervision during conventions to ensure seamless execution. Additionally, the specialist will work closely with Product Managers and Marketing Communications to support new product launches and public relations efforts via trade show marketing activities.

Beyond the logistical scope, this role involves financial stewardship by creating annual budget plans, producing monthly budget reports, tracking expenses, and evaluating the effectiveness of trade shows through data-driven analysis. The specialist will also be responsible for designing booth properties and displays when needed, managing trade show calendars, and assisting the marketing team in promotional developments. This position requires strong multitasking capabilities, an ability to travel frequently, and a proactive approach to solving problems and driving projects to completion. Job Requirements

  • four-year college degree required
  • minimum of two years experience in complex national trade show and event coordination
  • prior experience in marketing, minimum three years
  • excellent written, verbal and organizational skills
  • ability to analyze the entire planning process and execute preventative measures to ensure requirements are achieved
  • must be able to travel a minimum of six times a year for a week or more
  • must be able to prioritize and handle a variety of projects simultaneously
  • medical trade show experience preferred
  • proficient with MS Office (Excel, Word and PowerPoint)
  • desktop publishing a plus
  • able to work independently and take initiative in problem solving and decision-making
  • must possess excellent interpersonal skills and be a team player

Job Duties

  • process paperwork to accept or decline attendance at trade shows and seminars
  • produce and distribute timely monthly memos and convention calendar updates to field sales and marketing
  • responsible for site selections and planning for special events and sales meetings
  • coordinate logistics and negotiate rates with selected vendors for hotel rooms, meeting space, booth services and installation and dismantle services for trade show program
  • approve, coordinate and process all equipment forecasts and orders to support trade show program
  • travel and provide on-site support
  • track annual expenses and create proposed budgets
  • track expenses by show, producing a monthly accrual report and filing invoices with corresponding show file
  • track and analyze trade show evaluation forms to measure effectiveness of each meeting
  • design new booth property and displays, as needed
  • manage booth property, the exhibit house and requested services to support the trade show program
  • assist in developing promotions and graphics for our exhibition and events
  • assist the marketing group with new product launches
  • update and maintain the trade show calendar
