The Golf Tournament Coordinator role at Invited is a dynamic and essential position responsible for planning, organizing, and executing golf tournaments and events at the club. This role demands a high level of coordination and communication as the coordinator works closely with club members, guests, vendors, and staff to ensure that all aspects of the tournaments run smoothly from the initial concept through to the event's conclusion. Key responsibilities include managing event logistics such as registration, pairings, scoring, and award ceremonies, which require meticulous attention to detail and exceptional organizational skills. The coordinator also plays a vital role in promoting tournaments through collaboration with the marketing team, utilizing newsletters, social media, and other promotional materials to engage and inform participants.
This role reports directly to the Head Golf Professional and is crucial in supporting the club's operational goals while enhancing member and guest satisfaction. The Golf Tournament Coordinator is expected to develop detailed event timelines, handle vendor contracts, oversee tournament budgets, and ensure accurate processing of invoices. The position requires someone with an ability to manage multiple events simultaneously under tight deadlines, and proficiency in golf tournament software and Microsoft Office is advantageous.
Working primarily outdoors with exposure to varying weather conditions and performing physical tasks such as lifting and carrying equipment, the role also requires flexibility in work hours, including weekends and holidays to meet event deadlines. Job Requirements
- High school diploma or equivalent
- Minimum 2 years of experience in event coordination within golf or country club
- Proficient in Microsoft Office and golf tournament software
- Ability to work flexible hours including weekends and holidays
- Strong communication and customer service skills
- Ability to lift and carry up to 100 lbs
- Willingness to work outdoors in various weather conditions
- Ability to manage multiple tasks and meet deadlines
- Maintain confidentiality of sensitive information
- Valid certifications relevant to the role as required
Job Qualifications
- High school diploma or equivalent
- Minimum of 2 years of experience in event coordination within a golf or country club setting
- Bachelor’s degree in Sports Management, Event Planning, Hospitality, or related field preferred
- Ability to manage multiple events and deadlines simultaneously
- Skilled in negotiating contracts and managing vendor relationships
- Proficient in Microsoft Office, golf tournament software, and social media platforms
- Ability to maintain confidentiality of proprietary company information and sensitive employee matters

Job Duties
- Oversee the planning of golf tournaments, including member tournaments, charity events, and corporate outings
- Develop detailed event timelines, covering all operational aspects such as registration and staffing
- Communicate with tournament participants regarding event schedules, rules, and special instructions
- Work with the Head Golf Professional and Director of Golf to create tournament formats, pairings, and scorekeeping systems
- Serve as the primary point of contact for tournament participants, addressing questions, concerns, and special requests
- Collaborate with the marketing team to promote tournaments and events through newsletters, social media, and other channels
- Coordinate with outside vendors for tournament services including catering, trophies, signage, and entertainment
- Assist in creating promotional materials such as flyers, email announcements, and event brochures
- Oversee post-event clean-up and inventory management
- Conduct post-event reviews to identify areas of improvement for future tournaments
- Compile and distribute tournament results and reports to participants and club leadership
- Work closely with the golf operations team, club staff, and grounds maintenance to ensure a successful event
- Create and manage tournament budgets, including tracking revenue, expenses, and participant fees
- Ensure all invoices are processed accurately and timely
- Follow all company, club, and department policies, procedures, and instructions
- Maintain a high level of professionalism in interactions with members, colleagues, and staff
- Follow safe working practices and ensure compliance with safety guidelines
- Take initiative in personal and professional growth and maintain any required certifications
- Address and resolve challenges using available resources, working with regional and corporate teams
- Attend daily briefings and actively engage in required activities to stay informed and contribute to team success
