We are currently seeking a dedicated Tour Planner to join our team and support one of our premier clients based in the greater Seattle area. This full-time, on-site role requires attendance from Monday through Friday, providing an engaging opportunity to manage all aspects of tour requests at a leading technology center. The Tour Planner will play a vital role in coordinating, scheduling, and overseeing diverse tour logistics while serving as a key liaison for executive-level visitors and internal stakeholders. From managing calendars and inboxes to handling catering and maintaining detailed documentation, this role demands exceptional organizational skills, meticulous attention to detail, and a proactive mindset. More importantly, the successful candidate will be a polished professional accustomed to interacting with the C-suite and senior executives, equipped to represent our client's brand with confidence and grace. With a salary range of $65,000 to $75,000 annually, commensurate with experience and geography, this opportunity offers competitive remuneration within a vibrant, supportive work environment. Job Qualifications

  • Previous experience in a professional administrative assistant role is required, dealing with the C-suite, preferably in a tech environment
  • strong organization and multi-tasking abilities a must
  • effective communication skills, both verbal and written, for interacting with staff, visitors, and external stakeholders
  • polished professional demeanor knowing how to interact with high-level executives
  • strong attention to detail is required
  • proficiency in Microsoft Office applications
  • a positive, proactive attitude is a must
  • experience with preparing documents, maintaining filing systems, and using communication tools such as email and scheduling systems
  • experience with Power BI is required

Job Duties

  • Scheduling, planning, and managing all tour requests
  • gathering information and coordinating logistics for tour requests via phone calls and email
  • managing inboxes, calendars, and booking tools
  • reporting any technology or maintenance issues
  • maintaining positive public relations with stakeholders
  • coordinating catering as needed
  • maintaining documentation such as training manuals and templates
  • greeting executive level individuals and acting as a liaison to assist the process
