The Private Events Manager position at the University of Utah’s Ken Garff University Club within this prestigious network offers a full-time career opportunity with a yearly salary range of $55,000 to $60,000, and eligibility for bonuses. This role is integral to the planning and execution of large-scale, complex private events that contribute significantly to the venue’s revenue and reputation. Reporting directly within the event management category, the Private Events Manager will coordinate cross-functional teams including culinary, operations, audiovisual, and facility services to deliver seamless event experiences from contract signing to final settlement.

This position demands leadership in managing event logistics, developing and maintaining event documentation such as Banquet Event Orders (BEOs) and timelines, and ensuring all event aspects meet high-quality standards for presentation and brand consistency. The role also involves strategic oversight of event outcomes, including operational efficiencies and financial monitoring, while mentoring junior staff to uphold an outstanding standard of event delivery. The successful candidate will work closely with sales teams to enhance client retention and repeat business, emphasizing a client-focused and proactive approach. Flexible working hours, including nights, weekends, and holidays, are required to meet event demands. Job Requirements

  • Bachelor's degree or equivalent experience in event management or related field preferred
  • Minimum 3-5 years of professional event management experience
  • Demonstrated ability to manage complex events with multiple stakeholders
  • Proficiency in Microsoft Office
  • Experience with event management software such as Social Tables preferred
  • Strong organizational and communication skills
  • Ability to work flexible hours including nights, weekends, and holidays
  • Physical ability to move heavy equipment as needed
  • Ability to lead teams and mentor staff
  • Commitment to high standards of quality and operational excellence

Job Qualifications

  • 3-5+ years of event management experience in a stadium, arena, convention center, hospitality venue, or similar environment
  • Proven experience managing complex, high-volume events with multiple stakeholders
  • Strong understanding of event logistics, production, and operational planning
  • Experience with budgeting, forecasting, and financial reconciliation
  • Proficiency in Microsoft Office
  • experience with Social Tables or similar event planning software preferred
  • Ability to manage multiple projects in a fast-paced, high-pressure environment
  • Strong communication, organization, and problem-solving skills
  • Ability to work flexible hours including nights, weekends, and holidays
  • Ability to move heavy furniture/equipment as needed
  • Other assignments designated by the Private Events Director

Job Duties

  • Lead planning, strategy, and execution of large-scale, high-revenue, and complex events from initial planning through completion
  • Serve as the primary point of contact post-contract, managing timelines, deliverables, and overall event execution
  • Own event outcomes, including operational performance, financial results, and overall execution quality
  • Oversee development and accuracy of BEOs, event timelines, and all supporting documentation
  • Coordinate cross-functional communication across culinary, operations, AV, and facility teams to ensure alignment
  • Plan and manage event logistics, including layouts, staffing plans, production requirements, and scheduling
  • Advance event requirements with all internal and external stakeholders, including production needs, labor, and equipment
  • Develop event layouts and floorplans as needed
  • Identify operational efficiencies and proactively address risks to ensure seamless execution
  • Maintain consistent standards of quality, presentation, and brand across all events
  • Communicate post-event outcomes, challenges, and recommendations to senior leadership
  • Support and mentor junior event staff, providing guidance, training, and performance feedback
  • Collaborate with Sales to support retention, repeat business, and overall event success
