The Private Events Manager position is a full-time role located at the University of Utah’s Ken Garff University Club in Salt Lake City, Utah. This role is integral to the successful planning, coordination, and execution of large-scale, complex private events from the post-contract phase through final settlement. The Private Events Manager serves as the central coordinator among various departments, ensuring that each event aligns with the company’s standards for operational efficiency, financial performance, and customer satisfaction. The position offers a competitive yearly salary ranging from $55,000 to $60,000 and includes bonus eligibility, reflecting the critical nature of the responsibilities involved in managing these high-revenue events.

The primary responsibility of the Private Events Manager is to lead the entire lifecycle of event execution, covering strategy development, timeline management, logistics oversight, and cross-departmental communication. This person acts as the primary contact for all stakeholders involved, including culinary services, operations, audiovisual teams, and facility managers, to ensure a seamless experience for clients and guests. The manager is also responsible for developing accurate Banquet Event Orders (BEOs), event timelines, and supporting documentation while overseeing the practical aspects of event setup such as layouts, staffing, production requirements, and scheduling.

In addition to operational tasks, the Private Events Manager must maintain strong financial oversight, including budgeting, forecasting, and financial reconciliation, to ensure events are both successful in execution and aligned with financial targets. This role demands a detail-oriented approach to identify efficiencies, manage risks, and uphold consistent quality and branding standards across all events. Post-event communication with senior leadership is crucial for sharing insights, outcomes, and recommendations to continuously improve the event management process.

Beyond individual event management, the Private Events Manager supports and mentors junior event staff, facilitating growth, training, and performance feedback. Collaboration with the sales team is also vital to promote client retention and repeat business, underscoring the role’s strategic importance within OVG’s broader operational framework. The start date for this position is scheduled on or after July 1, 2026, and the application period remains open until August 14, 2026. Job Requirements

  • Bachelor’s degree in hospitality, event management, business, or related field
  • Minimum 3-5 years of professional event management experience
  • Demonstrated ability to lead large-scale and complex events
  • Proficient with event management software and Microsoft Office
  • Excellent organizational, multitasking, and communication skills
  • Flexibility to work irregular hours, including nights, weekends, and holidays

Job Qualifications

  • 3-5+ years of event management experience in a stadium, arena, convention center, hospitality venue, or similar environment
  • Proven experience managing complex, high-volume events with multiple stakeholders
  • Strong understanding of event logistics, production, and operational planning
  • Experience with budgeting, forecasting, and financial reconciliation
  • Proficiency in Microsoft Office
  • experience with Social Tables, or similar event planning software preferred
  • Ability to manage multiple projects in a fast-paced, high-pressure environment
  • Strong communication, organization, and problem-solving skills
  • Ability to work flexible hours including nights, weekends, and holidays
  • Ability to move heavy furniture/equipment as needed

Job Duties

  • Lead planning, strategy, and execution of large-scale, high-revenue, and complex events from initial planning through completion
  • Serve as the primary point of contact post-contract, managing timelines, deliverables, and overall event execution
  • Own event outcomes, including operational performance, financial results, and overall execution quality
  • Oversee development and accuracy of BEOs, event timelines, and all supporting documentation
  • Coordinate cross-functional communication across culinary, operations, AV, and facility teams to ensure alignment
  • Plan and manage event logistics, including layouts, staffing plans, production requirements, and scheduling
  • Advance event requirements with all internal and external stakeholders, including production needs, labor, and equipment
  • Develop event layouts and floorplans as needed
  • Identify operational efficiencies and proactively address risks to ensure seamless execution
  • Maintain consistent standards of quality, presentation, and brand across all events
  • Communicate post-event outcomes, challenges, and recommendations to senior leadership
  • Support and mentor junior event staff, providing guidance, training, and performance feedback
  • Collaborate with Sales to support retention, repeat business, and overall event success
