The University of Utah, home to the Ken Garff University Club, is partnering with Oak View Group to recruit a Private Events Manager for a full-time position based in Salt Lake City, Utah. This role is pivotal for orchestrating large-scale and complex private events at the prestigious Ken Garff University Club. The position is salaried, with an annual compensation range of $55,000 to $60,000, and also offers eligibility for performance-based bonuses. The anticipated start date for this role is on or after July 1, 2026, providing ample time to transition smoothly into this exciting opportunity.
As the Private Events Manager, you will be responsible for leading the full lifecycle of event planning and execution, from post-contract award through to final event settlement. You will serve as the central communication hub, ensuring all departments within the club and external vendors are aligned to deliver flawless events. This means overseeing operational logistics, managing timelines, budgets, and staffing, and guaranteeing the highest standards of quality and customer satisfaction. Your leadership will ensure that each event meets both financial objectives and client expectations.
The role demands an individual with remarkable organizational skills, the ability to handle multiple high-pressure projects simultaneously, and a keen eye for detail. You will coordinate with culinary teams, facilities management, audio-visual specialists, and production crews to ensure seamless event execution. By developing precise event layouts and floor plans, and by proactively identifying potential operational risks, you will facilitate smooth event delivery that enhances the reputation of the University of Utah and Oak View Group.
Moreover, the Private Events Manager will provide guidance and mentorship to junior staff, fostering growth within the team and maintaining a culture of continuous improvement. Collaboration with sales teams is also a key aspect, aimed at driving customer retention, repeat business, and overall event success. This role requires flexibility, including willingness to work nights, weekends, and holidays as event schedules demand.

Job Requirements
- 3-5+ years of event management experience in a stadium, arena, convention center, hospitality venue, or similar environment
- Proven experience managing complex, high-volume events with multiple stakeholders
- Strong understanding of event logistics, production, and operational planning
- Experience with budgeting, forecasting, and financial reconciliation
- Proficiency in Microsoft Office
- Ability to manage multiple projects in a fast-paced, high-pressure environment
- Strong communication, organization, and problem-solving skills
- Ability to work flexible hours including nights, weekends, and holidays
- Ability to move heavy furniture/equipment as needed
Job Qualifications

Job Duties
- Lead planning, strategy, and execution of large-scale, high-revenue, and complex events from initial planning through completion
- Serve as the primary point of contact post-contract, managing timelines, deliverables, and overall event execution
- Own event outcomes, including operational performance, financial results, and overall execution quality
- Oversee development and accuracy of BEOs, event timelines, and all supporting documentation
- Coordinate cross-functional communication across culinary, operations, AV, and facility teams to ensure alignment
- Plan and manage event logistics, including layouts, staffing plans, production requirements, and scheduling
- Advance event requirements with all internal and external stakeholders, including production needs, labor, and equipment
