The University of Utah’s Ken Garff University Club, located in Salt Lake City, Utah, is a distinguished venue recognized for hosting premier events and private functions. As part of OVG’s network of managed venues, the University Club represents an upscale environment tailored for private events, banquets, corporate gatherings, and social functions.
The Private Events Manager position at the Ken Garff University Club is a full-time role, slated to start on or after July 1, 2026, with an annual salary in the range of $55,000 to $60,000. This role offers bonus eligibility and comprehensive benefits including a 401(k) savings plan with company matching. Reporting directly within the event management and hospitality framework, the Private Events Manager plays a crucial leadership role responsible for the planning, coordination, and flawless execution of large-scale, complex private events.
This position acts as the central communication hub and operational leader throughout the event lifecycle, beginning from post-contract planning through to final settlement. The manager collaborates closely with multiple internal departments such as culinary, operations, audiovisual, and facilities teams to ensure all event components are aligned and delivered to the highest standards. Responsibilities include oversight of event layouts, staffing plans, production requirements, and logistics, ensuring a smooth, efficient, and superior client experience.
The Private Events Manager drives strategic event execution and supports the financial success of events through diligent management of budgets, forecasting, and event reconciliations. Additionally, this role involves mentoring junior event staff, fostering a team environment that promotes professional development and continuous improvement.

Job Requirements
- Bachelor's degree or equivalent experience in event management or related field preferred
- Minimum of 3-5 years of experience managing large-scale events
- Proven ability to coordinate multiple stakeholders and departments
- Strong financial acumen and experience with event budgeting and reconciliation
- Proficiency in Microsoft Office suite
- Experience with event management software such as Social Tables preferred
- Ability to work under pressure and meet deadlines
- Capability to work flexible hours including weekends, nights, and holidays
- Physical ability to lift and move heavy furniture and equipment
- Strong interpersonal skills and leadership capabilities
Job Qualifications
- 3-5+ years of event management experience in a stadium, arena, convention center, hospitality venue, or similar environment
- Proven experience managing complex, high-volume events with multiple stakeholders
- Strong understanding of event logistics, production, and operational planning
- Experience with budgeting, forecasting, and financial reconciliation
- Proficiency in Microsoft Office
- experience with Social Tables or similar event planning software preferred
- Ability to manage multiple projects in a fast-paced, high-pressure environment
- Strong communication, organization, and problem-solving skills
- Ability to work flexible hours including nights, weekends, and holidays
- Ability to move heavy furniture and equipment as needed
Job Duties
- Lead planning, strategy, and execution of large-scale, high-revenue, and complex events from initial planning through completion
- Serve as the primary point of contact post-contract, managing timelines, deliverables, and overall event execution
- Own event outcomes, including operational performance, financial results, and overall execution quality
- Oversee development and accuracy of BEOs, event timelines, and all supporting documentation
- Coordinate cross-functional communication across culinary, operations, AV, and facility teams to ensure alignment
- Plan and manage event logistics, including layouts, staffing plans, production requirements, and scheduling
- Advance event requirements with all internal and external stakeholders, including production needs, labor, and equipment
- Develop event layouts and floorplans as needed
- Identify operational efficiencies and proactively address risks to ensure seamless execution
- Maintain consistent standards of quality, presentation, and brand across all events
- Communicate post-event outcomes, challenges, and recommendations to senior leadership
- Support and mentor junior event staff, providing guidance, training, and performance feedback
- Collaborate with Sales to support retention, repeat business, and overall event success
