At the heart of OVG's operations in Mobile, Alabama, is the Arthur R. Outlaw Mobile Convention Center, a prestigious 317,000-square-foot venue located along the historic Mobile River waterfront. This state-of-the-art facility offers 16 meeting rooms, two ballrooms, and two exhibit halls totaling 100,000 square feet of versatile event space. The Event Manager role is a full-time position based at the Mobile Convention Center, offering an annual salary between $50,000 and $55,000. This position is pivotal in ensuring the successful planning, coordination, and execution of a wide variety of events hosted at the facility. The Event Manager will develop and manage comprehensive event operations including setup, floor plans, estimates, and exhibit construction logistics. This role demands close collaboration with a multitude of departments such as Sales, Marketing, Facility Operations, Security, Finance, and Human Resources, as well as venue partners and key stakeholders. Through this collaboration, the Event Manager ensures that each event meets or exceeds client expectations while aligning with company business objectives.

Key responsibilities include acting as a primary contact throughout all phases of event management, leading event personnel, overseeing vendor relationships, managing safety and emergency protocols, and ensuring compliance with venue policies. The Event Manager will also utilize event records management systems and financial forecasting tools to prepare accurate budgets and post-event settlements. This role requires exceptional organizational, interpersonal, and communication skills to maintain high standards of service and client satisfaction. The successful candidate will also participate in pre-event, on-floor, and post-event walkthroughs to guarantee cleanliness, safety, and proper setup.

Job Requirements

  • 3-5 years of event management experience or related field

Job Duties

  • Acts as the central contact during all phases of event management for clients and contractors
  • receives, assembles, and distributes event information via resumes to team members
  • provide leadership and guidance for event personnel
  • oversees and manages all event-related services provided by the venue
  • ensure team members and clients are familiar with safety and emergency procedures during events
  • coordinate and utilize the event records management system for all phases of event planning and operation
  • works with team members to develop and maintain a positive customer service level
  • handles coordination of events with respect to Event Work Orders and Event Change Orders
  • ensure all clients and contractors are familiar with building policies, procedures, rules, and regulations
  • provides on-floor management of center event-related services
  • set up and coordinate all primary and pre-event meetings with clients
  • provides a complete schedule and record for all show-related activity
  • experience with budget management and maintaining vendor relationships
  • conduct pre, during, and post walkthroughs to ensure cleanliness, setup, and safety
  • guide clients in preparation of events by interpreting and explaining contract provisions, policies, and procedures
  • provide exceptional service to clients
  • maintain constant communication with clients to plan event logistics
  • ensure daily post reports are sent during load-in, event days, and load-out
  • proficient in forecasting, financial management, and database management
  • prepare post-event settlement in coordination with finance
  • other duties as assigned
