The role of Event Manager at Oak View Group’s Mobile Convention Center is a full-time, regular position with an annual salary range from $50,000 to $55,000. This role is integral to the successful planning and execution of diverse events, including conferences, conventions, trade shows, meetings, exhibitions, social events, and special projects. The Event Manager will be responsible for developing and managing comprehensive event operation plans covering setup tasks, floor layouts, vendor coordination, and logistical estimates. This position demands close collaboration with multiple internal departments such as Sales, Marketing, Facility Operations, Security, Finance, Human Resources, Venue Partners, and other key stakeholders to ensure seamless event delivery aligned with business objectives. The successful candidate must quickly acquire in-depth knowledge of the venue's operational capabilities and partner services to efficiently coordinate all facets of each event. Key responsibilities include acting as the central contact for clients and contractors, supervising event personnel, overseeing vendor and service provider performance, ensuring compliance with safety and emergency protocols, managing event records, facilitating client meetings, and maintaining strong vendor relationships. The Event Manager will also handle detailed aspects of budget preparation, billing coordination, post-event settlements, and provide exceptional customer service to foster repeat business and positive client experiences. Job Requirements

Job Duties

  • Act as the central contact during all phases of event management for clients and contractors
  • Receive, assemble, and distribute event information to team members
  • Provide leadership and guidance for event personnel
  • Oversee and manage all event-related services provided by the venue
  • Ensure team members and clients are familiar with safety and emergency procedures
  • Coordinate and utilize the event records management system
  • Work with team members to develop and maintain positive customer service levels
  • Handle coordination of Event Work Orders and Event Change Orders
  • Ensure clients and contractors comply with building policies and regulations
  • Provide on-floor management during events
  • Set up and coordinate primary and pre-event meetings
  • Provide complete schedules and records for show-related activities
  • Manage event budgets and maintain vendor relationships
  • Conduct pre, during, and post event walkthroughs to ensure safety and proper setup
  • Guide clients in interpreting contracts, policies, and procedures
  • Communicate constantly with clients to plan event logistics
  • Send daily post reports to team members during load-in, event days, and load-out
  • Forecast, manage finances, and prepare event estimates
  • Prepare post-event settlements with finance
  • Perform other duties as assigned
