The role of Event Coordinator at The Revaire is a pivotal position within this dynamic environment. This person will act as the primary point of contact for clients and vendors, embodying the professionalism and hospitality that define AFE and The Revaire. The Event Coordinator supports the Sales team with a variety of essential office duties such as managing inquiries, assisting with tours, drafting proposals, coordinating vendors, and maintaining detailed event files. Beyond these administrative responsibilities, the coordinator plays an active role in event execution by overseeing onsite activities like load in and load out, managing vendor logistics, and ensuring adherence to event timelines. This hybrid role demands exceptional organizational skills, a personable and professional demeanor, and the flexibility to work evenings and weekends in alignment with the event calendar.

This salaried, exempt position operates primarily during regular business hours from Monday to Friday, 9 AM to 5 PM, but requires availability for after-hours work to support evening and weekend events. Job Requirements

  • Bachelor’s degree in hospitality, communications, business, or related field preferred
  • Equivalent work experience considered
  • Previous experience in events, hospitality, or catering industries required
  • Strong organizational skills
  • Proficiency in database entry
  • Excellent written communication skills
  • Ability to work evenings, weekends, and extended hours

Job Qualifications

  • Bachelor’s degree in Hospitality, Communications, Business, or related field preferred
  • Previous experience in events, hospitality, or catering industries
  • Experience with Adobe Suite, Canva, Social Tables or AllSeated a plus
  • Strong organizational skills with the ability to manage multiple tasks and prioritize based on deadlines and importance
  • Proficiency in database entry and comfort learning new event management software with experience in Caterease or similar systems a plus
  • Excellent written communication skills with accuracy in grammar, spelling, and punctuation
  • Personable, professional demeanor with the ability to work effectively across departments and with a wide variety of clients and vendors
  • Proactive, adaptable, and solutions-oriented, with strong attention to detail
  • Ability to work evenings, weekends, and extended hours as needed for event execution

Job Duties

  • Answer incoming inquiries via phone and email
  • Record event inquiry information in venue database Caterease
  • Prepare paperwork and attend weekly department meetings
  • Assist with proposals and accurately make revisions based on client feedback
  • Place and ensure accuracy of rental and vendor orders and make revisions as needed
  • Upload all event related documents to digital event files
  • Maintain accurate and organized physical event files
  • Create detailed event timelines
  • Ensure event payment deadlines are met for clients and vendors
  • Send vendor invoices to Accounting Department for payment
  • Update events with final guest counts
  • Confirm vendors load in/load out schedules and share with Logistics Department
  • Share diagrams and communicate setup timeline prior to event date with Facilities Coordinator
  • Write event notes for service staff pre-event
  • Create bar and menu signage for events and tastings
  • Attend events and provide support overseeing load in, event execution, and load out
  • Communicate any building damages or repairs to Facilities Coordinator
  • Send review requests to clients via Captivated app post event
  • Invoice events post execution
  • Handle laundering services of venue linens
  • Open and close the venue each day
  • Order and replenish supplies for venue suites
  • Schedule venue cleaning services
  • Secure additional parking lot as needed based on event parameters
  • Manage venue air conditioning schedule
  • Prepare the venue for tours and meetings
  • Attend and/or lead venue tours
