Job Description

The University of Kansas Housing & Residence Life department offers a dynamic and engaging summer employment opportunity as a Conference Coordinator (CC). This position is a paid, live-in summer role designed to oversee and support the Housing Services team in managing summer operations, camps, and conferences on campus. The CC will report directly to the Assistant Director for Housing Services or a full-time staff member involved with camp and conference operations. The Conference Coordinator plays a critical role in ensuring the smooth operation of summer housing, acting as a central point of coordination and support for youth and adult guests, while also supervising student staff and maintaining high standards of customer service and guest care.

The role involves a balanced mix of administrative duties, staff management, collaboration with campus partners, crisis management, policy enforcement, and customer service. The Conference Coordinator will be the primary point of contact for designated conference groups, coordinating all aspects of their campus visits from initial contact through to departure. This includes assessing group needs, scheduling staff, overseeing check-in and check-out processes, managing linen and camp card access, and maintaining accurate records for billing and operational purposes. Additionally, the CC will assist with training and supervising summer staff, including Lead Conference Assistants and Conference Assistants, ensuring the team is well-prepared to meet guest expectations and provide exceptional service.

Effective communication and collaboration with dining services, housing staff, camp leads, and other stakeholders are vital aspects of the job to ensure seamless operations. The Conference Coordinator also serves on an on-call rotation to respond to campus-wide crises and conference-specific emergencies, requiring familiarity with university policies and compliance regulations such as FERPA, NCAA, Title IX, and the Cleary Act. Incident management and reporting through designated systems are part of ensuring a safe and supportive environment for all campus visitors.

This position not only offers practical experience in event and facilities management but also provides an opportunity for graduate students to fulfill field experience requirements for master’s degree programs in higher education or related fields. The employment period runs from May 18, 2026, to August 8, 2026, with a possible extension to August 15, 2026, pending departmental need and mutual agreement. Dates may be flexible based on prior communication.

Job Requirements

  • High school diploma or equivalent
  • Prior experience in event coordination or administrative roles preferred

  • Must be able to perform physical tasks such as moving items up to 25 pounds and standing or sitting for extended periods
  • Commitment to maintaining confidentiality and privacy of all stakeholders

Job Duties

  • Serve as the primary point of contact for designated conference groups prior to and during their campus visits, coordinating logistics and collaborating with others
  • Work with conference groups by assessing needs and staffing appropriately, including adding staff to the schedule and sharing meeting locations/times in a timely manner
  • Assist with daytime, evening, and weekend check-ins and check-outs and provide strong customer service
  • Monitor and respond to emails in the Camps and Conferences Departmental account
  • Coordinate and manage information and communication with groups and campus stakeholders
  • Provide oversight and support staff efforts in the management of linens and access on camp cards
  • Perform administrative tasks such as issuing keys, scheduling room reservations, and transitioning desks
  • Maintain accurate and complete records of assigned conference groups
  • Assist accounting specialists with collecting necessary information for billing purposes, including completing post camp forms and accurate onsite payment collection
  • Participate, engage, and contribute in trainings, meetings with supervisors, ongoing departmental communication, and regularly scheduled summer operations meetings
  • Understand and follow all relevant compliance rules and regulations (FERPA, CI, NCAA, Clear, Minors on Campus, etc.) and maintain privacy with respect to students, staff, and guest information
