Job Description
WMATA (Washington Metropolitan Area Transit Authority) is a prominent public transportation agency serving the Washington D.C. metropolitan area. This department plays a vital role in equipping employees and trainees with the necessary skills and knowledge to support WMATA's operational excellence and customer service standards. The Technical Training and Development team is seeking dedicated Operations Support Specialists to join their staff and contribute to the seamless functioning of the training programs that prepare WMATA's workforce for success.
The Operations Support Specialist roles are essential to the day-to-day operations of the Technical Training and Development team. These specialists work closely with Program Managers and serve as the operational backbone, ensuring that training environments, technology, and support systems operate smoothly and efficiently. Two distinct roles are available: one focused on Facilities and Classroom Operations, and the other on Student Support and Program Operations. Both roles aim to optimize processes, solve problems promptly, and support instructors and trainees to maximize learning experiences.
The Facilities and Classroom Operations Support Specialist ensures that all training spaces are "room ready" for instruction. This includes managing classroom setups, overseeing technology and AV system functionality, and coordinating services so that training sessions run without disruption. The role also involves establishing standardized procedures to replace informal problem-solving methods, thereby introducing increased structure, visibility, and consistency into how learning environments are maintained and managed.
In contrast, the Student Support and Program Operations Specialist concentrates on the trainee experience and program administration. Responsibilities include managing outreach efforts, supporting student onboarding, handling registration and access, and maintaining thorough records to ensure that students are engaged and on track throughout their training. This role ensures that program logistics run smoothly, helping to create a positive, efficient, and supportive educational atmosphere.
Both positions require individuals who are highly organized, proactive, and solution-oriented. Candidates should be capable of handling multiple operational tasks with precision and responsiveness. They must effectively communicate with instructors, trainees, and other staff members to address needs and resolve issues promptly. The ideal candidates will be adept at coordinating resources, managing technology, and maintaining the safety and cleanliness of training environments.
These full-time positions require a high school diploma or GED and a minimum of four years of experience supporting operations in training or educational contexts, including facilities management, student services, program administration, or recruitment/event coordination. Preferred qualifications include an associate degree or higher in related fields such as Facilities Management, Information Technology, or Business Administration, as well as certifications in facilities support, AV technology, or customer service.

- Four years of experience supporting operations, facilities, student services, program administration, or recruitment/event coordination in a training or educational environment

Job Duties
- Prepare, organize, and maintain training environments, ensuring technology, equipment, and instructional resources are functional, available, and ready for use
- Serve as primary point of contact for instructors, students, and staff
- respond to operational, technical, or facilities-related inquiries and resolve issues promptly to ensure uninterrupted training delivery
- Monitor facility and classroom safety, cleanliness, and readiness
- escalate maintenance or access concerns to appropriate teams
- Set up and test AV systems, computers, and classroom technology for training sessions and events
- Track and manage inventory of supplies, equipment, and technology assets
- coordinate repairs or replacements as needed
- Support student onboarding and participation by coordinating registration, access, and distribution of training resources
- Maintain accurate documentation of classroom usage, student records, work orders, and inventory within designated systems (e.g., LMS, Maximo, PeopleSoft)
- Collaborate with program managers and instructors to ensure operational efficiency, participant readiness, and smooth delivery of training
- Assist with logistics for orientations, special events, or space reconfigurations
- Uphold health, safety, and confidentiality standards across all operational functions
