Within the Procurement organization at OpenAI, the focus is on responsible, compliant, and efficient spending to support the company’s mission. The Procurement team plays a critical role in managing the company’s travel, expense, and event-related operations, ensuring these functions run smoothly and in accordance with internal controls and regulatory requirements. Reporting directly to the Head of Travel & Expense (T&E), this role is instrumental in crafting and scaling the company’s global events strategy, optimizing processes and partnerships across multiple cross-functional teams including Accounting, Finance, and Procurement Operations.
The role of the Global T&E and Events Strategy Lead is a blend of strategic leadership and hands-on execution. This individual is responsible for owning the global strategy around Travel & Expense events and related procurement activities, setting process roadmaps, leading platform deployment and lifecycle management, and driving cost optimization through process standardization. The position requires a balance between program leadership and detailed operational tasks, with approximately 50% of time split between these responsibilities.
Key responsibilities include developing and managing corporate travel and event strategies, partnering with internal stakeholders such as Events teams and Executive Business Partners, and ensuring compliance with stringent controls aligned with SOX and other regulations. This role involves managing event policies related to room blocks, venues, group meals, payments, and reconciliation, as well as spearheading sourcing initiatives, contract negotiations, vendor selection, and supplier strategy optimization for corporate events.
Additionally, the position demands expertise in process design, governance, and audit readiness, including ownership of SOP documentation, controls alignment, and policy enforcement. A critical part of the role involves integrating various programs—such as travel, expense, procurement cards, and budgeting—into a unified workflow to enhance event program management.
Data accuracy and systems integration are also key, with responsibility for ensuring seamless coordination across ERP, analytics, travel, tax, payroll, and related systems. The ideal candidate has extensive experience in strategic meeting management programs (SMMP), global travel and expense management, and has worked with enterprise platforms like Oracle Fusion, Planned, Cvent, and Navan.
This full-time, hybrid role is based in San Francisco, California, requiring three days a week in the office and offering relocation assistance. The compensation ranges from $216,000 to $240,000 USD annually, plus equity offers. Job Requirements
- Bachelor's degree or equivalent work experience
- Eight plus years in M&E, SMMP, corporate T&E, Procurement, or Finance Operations
- Proven background in strategic meeting management and corporate travel and expense management
- Hands-on expertise in process design and automation across T&E
- Experience with global event strategy and platform management
- Strong understanding of SOX compliance and audit readiness
- Excellent stakeholder partnership and communication skills
- Ability to manage multiple projects and priorities in a fast-paced environment
- Proficiency with ERP systems and related enterprise software
- Willingness to work in hybrid model in San Francisco
- Authorization to work in the United States
- Ability to undergo background checks as required
Job Qualifications
- Eight plus years of experience in M&E, SMMP, corporate T&E, Procurement, or Finance Operations
- Proven experience in strategic meeting management programs, corporate travel and expense management, travel sourcing, or travel consulting
- Expertise in designing, standardizing, and automating T&E processes including policy management and systems integration
- Experience leading global T&E events strategy, including policy development, venue and room block sourcing, and platform management
- Strong controls mindset aligned to SOX with experience driving audit readiness
- Proficiency with enterprise tools such as Oracle Fusion, Planned, Navan, VNDLY, Jira, or similar platforms
- Deep technical proficiency in T&E policy, global events management, card programs, and regulatory compliance
- Ability to partner effectively with Accounting, Procurement, FP&A, and Legal/Compliance
- Experience in ERP/AP automation, OCR, approval routing, and AI-enabled process improvements
Job Duties
- Lead the global company-wide T&E and Procurement event strategy and associated policies
- Partner with Events teams, Executive Business Partners, department leaders, and cross-functional teams to align event programs with business needs and compliance requirements
- Optimize supplier strategy and ongoing event operations
- Create and standardize event policy and controls across all organizations and managers
- Drive global standardization and operational scalability
- Ensure SOX-compliant T&E and Procurement policies across all events
- Lead and enhance the full T&E event process design and governance including SOP documentation, controls alignment, and audit readiness
- Integrate T&E policy, budgeting/forecasting, travel, and card programs into a cohesive workflow for holistic event program management
- Ensure high data accuracy and reliable integrations across systems
- Own the global events category strategy and supplier base, leading sourcing, negotiations, contracting support, and vendor selection
- Map current-state event operations and drive continuous process improvement including deployment of new policies and platforms
- Own internal event-related products/tools/platforms and lead integration of emerging AI technologies throughout event workflows
