The Tour Operations Supervisor role is pivotal within this dynamic company. This position requires an individual who excels at problem-solving, communication, and motivation, serving as the primary support for Tour Directors who lead the company’s escorted tours. As a Tour Operations Supervisor, you will have a critical role in ensuring that Tour Directors feel empowered, well-equipped, and supported in every aspect of their job. The work environment is fast-paced and ever-changing, demanding flexibility and readiness to respond to real-time challenges. Responsibilities include overseeing administrative tasks for designated locations, maintaining professional relationships with Tour Directors, and coordinating with guest services to handle tour-related deviations and special guest needs such as luggage handling, flight arrangements, or medical concerns.
Additionally, you will collaborate closely with other supervisors and the Escorted Tour Operations Manager to ensure smooth communication and uninterrupted operations. You are responsible for preparing all necessary documentation for tours, briefing and debriefing Tour Directors, and overseeing the accuracy and completeness of paperwork. Evaluating Tour Director performance during and after the season, handling special assignments, and maintaining a professional team atmosphere are also integral parts of this role. The company places a strong emphasis on teamwork, consistency, and innovation, expecting supervisors to lead by example in fostering a cooperative environment.
Candidates must be adept with Microsoft Office tools like Word, Excel, Outlook, and Access, possess strong customer service skills, and have a minimum of one year of experience in customer service roles. Excellent communication skills across various mediums—phone, email, and in person—are essential, alongside exceptional organizational and time management capabilities. This position requires the ability to work independently, multitask in a fast-paced setting, and meet daily operational goals while complying with company policies, including health and safety standards. Physical stamina is necessary as the job requires standing or walking for at least eight hours a day.
Applicants must be able to legally work in the United States and gain entry into Canada as the role may involve cross-border duties. Background checks are mandatory, including Canadian government checks for positions involving Canada. Job Duties
- Perform all administrative responsibilities within designated location
- Oversee Tour Directors, maintaining a professional supervisor relationship with all company employees
- Relay important tour information or deviations from staff to appropriate Guest Services Operations
- Work in a team relationship with the other Escorted Tour Operations Supervisors and Escorted Tour Operations Manager to insure good communication and a smooth running operation
- Responsible for preparing all documents needed for the Tour Directors to start a tour
- Brief and debrief Tour Directors, providing and collecting all relevant tour documentation, ensuring that all paperwork is complete and accurate
- Responsible for assisting Tour Directors with special guest requests or needs (luggage, flights, medical situations)
- Assist in evaluating the performance of the Tour Director throughout the season and at the end of the season meetings
- Handle special assignments as required
