Job Description

The City of Blue Ash is currently seeking an enthusiastic and dedicated Events and Programs Coordinator to join its team at Summit Park. This is a part-time permanent role averaging between 20 to 25 hours per week year-round, with the expectation that the coordinator will support events and programming that often occur during evenings, weekends, and holidays, including the city's significant summer events. The Events and Programs Coordinator will play a crucial role in managing and independently coordinating community programming while working closely with the Summit Park Programming and Events Manager. This position requires a proactive, organized individual who is comfortable working both independently and as an active member of the broader Programming and Events Team.
The core responsibilities of this role include managing events from their initial planning stages through to the final review, working with recurring event series and community partner programming, and overseeing seasonal programs such as the Ice Rink at Summit Park. The coordinator will be responsible for the administrative tasks associated with event planning, including creating and managing contracts for programming, room rentals, and the City's Designated Outdoor Refreshment Area (DORA) Program. Effective communication is also a key aspect of the role, as the coordinator will maintain consistent contact with event partners, vendors, clients, and programmers via email and phone.
Additionally, the Events and Programs Coordinator will serve as the lead for Summit Park’s rental room program and the City's DORA districts at both Summit Park and Towne Square. Assisting with larger annual events by managing vendor coordination, on-site logistics, setup and teardown activities, and providing support during evenings and weekends is also a significant component of the role. Job Requirements
- Flexibility to work evenings, weekends, and holidays as required
- Ability to work outdoors in varying weather conditions for extended periods
- Physical ability to stand and walk for up to 6 or more hours during a shift
- Ability to lift or exert up to 50 pounds occasionally, up to 20 pounds frequently, and up to 10 pounds constantly
- Valid driver's license and reliable transportation
- Ability to pass a background check
Job Qualifications
- High school diploma or equivalent
- Previous experience in event planning, coordination, or related field preferred
- Experience with administrative tasks such as scheduling, invoicing, and managing contracts preferred
- Experience working with community events, festivals, or public programming is a plus
- Ability to work independently and as part of a team
- Strong organizational skills with ability to manage multiple projects and deadlines
- Excellent communication skills for maintaining contact with partners, vendors, and the public
- Strong problem-solving skills and ability to stay composed in fast-paced environments
- Proficiency in Microsoft Office Suite and ability to learn new software including Point of Sale and Scheduling systems

Job Duties
- Independently manage events from planning stages through final review
- Work with recurring event series and partnered programming with community organizations
- Create, send, and receive contracts related to programming, room rentals, and the City's DORA Program
- Manage invoices, collect Certificates of Insurance, and maintain communication with event partners, vendors, clients, and programmers

- Serve as an active member of the Programming and Events Team and assist with other City events as needed
