The Substitute Secretary position, identified with Job #001-039-C, operates on an as-needed basis within the Central Office Itinerant. This role is a vital secretarial and clerical support position that functions across various school and departmental locations within Mason County Schools. The main responsibility is to ensure efficient administrative and secretarial support services that promote seamless communication and organization within the school environment. The Substitute Secretary works under the direction of building principals or department supervisors, providing essential assistance in office management, bookkeeping, inventory, and correspondence.

This role requires handling a variety of complex secretarial and clerical tasks, including maintaining confidentiality and integrity, administering bookkeeping functions such as receiving and depositing monies, verifying and paying bills, and maintaining accurate computer records and reports. Being a liaison between the school or program and the public is a critical element of the role, ensuring positive and productive relationships among students, staff, and the community. The Substitute Secretary also plays a key role in inventory management of supplies and equipment, and facilitates communication by handling calls, mail, and acting as a receptionist.

The position requires excellent organizational and communication skills, the ability to operate office software and maintain databases, spreadsheets, and word processing documents. Proficiency in keyboarding, including correct grammar, spelling, and punctuation, is essential. Additionally, the Substitute Secretary must be adept at quickly adapting to new software and systems upgrades.
