Job Description

The University Union (UNION) at Sacramento State is a vibrant and dynamic hub that serves as the central gathering place for students, faculty, and the broader university community. The Student Assistant - Event Supervisor position at the University Union is a crucial role designed to support the event management team in ensuring the smooth execution of events held in key venues such as the Ballroom, Redwood Room, and Hinde Auditorium. This part-time, temporary, and non-benefited student role is primarily responsible for overseeing and assisting with various event functions both before and during events. The Event Supervisor works closely with event sponsors to confirm that all equipment operates correctly and the rooms are set up according to specific requirements, ensuring each event's success and attendee satisfaction.

In this role, you will monitor event progress, including managing sound and lighting levels, enforcing Union policies, coordinating audio-visual transitions, and maintaining appropriate room temperature and furnishings. Collaboration with catering supervisors ensures high service levels during events, contributing to an exceptional customer experience. Additionally, the Event Supervisor plays a leadership role by directing the Ballroom set-up staff to follow exact room arrangement instructions and coordinating with supplemental audio-visual operators when additional equipment is required for larger events.

The position requires a proactive approach to problem-solving and the ability to provide clear, concise communication to a diverse public and staff. Post-event responsibilities include ensuring all audio-visual equipment and room furnishings are properly accounted for and secured. The Event Supervisor also acts as a valuable backup for general building operations, contributing to the overall functionality of the Union.

This position is ideal for students who are pursuing any major and are enrolled full-time with a minimum of nine semester units for undergraduates or six semester units for graduate students during the regular term. It offers an opportunity to develop supervisory and leadership skills in a fast-paced environment, balancing multiple tasks with attention to detail. Candidates will need prior supervisory experience or extensive leadership experience, excellent verbal and written communication skills, knowledge of safe working practices, and the ability to work nights and weekends.

Job Duties

  • assists with event management duties in and around the event space prior to and during Ballroom, Redwood Room and Hinde Auditorium events
  • works directly with the event sponsor before and during events to ensure proper equipment operation and room set up requirements
  • requests assistance through Union management when significant changes to the room are needed
  • monitors the progress of events including sound levels, lighting levels, Union policy compliance, audio-visual transitions, room temperature and furnishings
  • works with catering supervisor to ensure high service levels and customer satisfaction
  • ensures that all audio-visual equipment is accounted for and properly secured during and after each event
  • ensures that all room furnishings and set-up equipment is accounted for and properly secured during and after each event
  • provides lead direction to the Ballroom set up staff prior to the event to ensure proper compliance with the room set up instructions
  • works with supplemental audio-visual equipment and operators when large events require the addition of new, sponsor-provided equipment
  • provides regular feedback to the Event Services staff after all assigned events
  • provides back-up support for general building operations functions
