The role of Senior Meeting and Events Coordinator is based in Washington, DC, and offers an hourly salary range of $33 to $36. This position is integral to delivering superior white-glove service in a dynamic conference and event environment. The Senior Meeting and Events Coordinator acts as a key liaison between clients, vendors, and internal departments to ensure flawless execution of meetings, conferences, and special events. This role requires a professional, efficient, and detail-oriented individual who thrives in a fast-paced setting and is capable of managing multiple priorities with minimal supervision. The coordinator is responsible for delivering exceptional guest experiences starting from greeting clients to coordinating logistics and post-event follow-ups. This includes managing reception duties, overseeing room setups, coordinating with audio-visual and catering teams, and maintaining up-to-date knowledge of event spaces and client needs.
Additional responsibilities entail managing communications through tools such as Outlook to confirm attendance and event specifications, conducting daily walkthroughs of event spaces, overseeing reservation systems for conference rooms, and preparing necessary documentation such as event floorplans and reports. Job Requirements
- High school diploma or equivalent
- 2-3 years of experience in meeting and event coordination
- Excellent communication skills
- Ability to work flexible hours including early mornings, evenings, and weekends
- Proficiency in Microsoft Outlook and event scheduling software
- Strong organizational and multitasking abilities
- Ability to maintain professionalism in fast-paced environments
Job Qualifications
- High school graduate with some college preferred
- Two to three years’ experience in meeting/event coordination within hospitality or corporate environment
- Ability to prioritize tasks and work under pressure
- Comfortable interacting with visitors in a public environment
- Basic computer skills and knowledge of office technology and equipment
Job Duties
- Greet clients upon reception to direct them to scheduled meeting rooms
- Manage and coordinate executive and departmental programs to execute successful meetings and conferences
- Anticipate project needs, prioritize work, meet deadlines with little supervision, and work evenings
- Communicate weekly and daily with clients via Outlook to confirm attendee counts and requests
- Serve as liaison with audiovisual service, catering, room setup, and outside vendors on event-related matters
- Conduct daily walkthroughs prior to meetings to confirm audiovisual equipment, catering, and room setup
- Assist in shipping and receiving duties as necessary
- Oversee conference reservations, cancellations, no-shows, and holding requests in scheduling software
- Schedule and participate in event walkthroughs with clients and hosts
- Prepare event floorplans at request
- Facilitate weekly coordination meetings with facilities, audiovisual, and security teams
- Communicate event details through appropriate business lines
- Prepare weekly reports for facilities to ensure spaces are configured correctly
- Update standard operating procedures and conference center documents as needed
- Assist with Meet and Greet service for high-profile guests and clients as needed
- Assist with reserving space and booking conference rooms for clients
- Flexible to work early mornings, nights, and weekends upon request
- Perform other duties as assigned
