The Sr. Event Technology Project Coordinator role is a pivotal position within the Event Technology & Registration group at Opus Agency. This full-time, salaried, exempt role offers the opportunity to work remotely within the United States. The position entails significant project coordination responsibilities, primarily focused on managing event registration and attendee-facing digital platforms. The coordinator supports the planning, execution, and maintenance of digital event experiences, ensuring a seamless registration process and excellent customer service for event attendees. This role also involves managing onsite event operations such as badge pick-up, attendee check-in, session scanning deployment, and content management through session catalogs and mobile apps.

A successful candidate will demonstrate strong critical thinking, organizational, and communication skills, as well as the ability to work independently and manage a small team across extended planning cycles. The Sr. Event Technology Project Coordinator acts as a key liaison between clients, internal teams, and vendors, guiding projects from concept through execution while maintaining budgets and meeting deadlines. With an emphasis on technology platforms like Rainfocus, Swoogo, Stova, Bizzabo, Cvent, Eventbase, and Airtable, the coordinator is expected to apply best practices in user experience and platform functionality to ensure client satisfaction and optimal event outcomes.

Travel is required approximately 20 percent domestically and internationally, so a valid passport is necessary. This role offers a competitive starting salary range from $60,000 to $70,000, with compensation based on factors such as experience and skills. Job Requirements

  • Bachelor’s degree preferred
  • 2-3+ years relevant experience in event technology or project coordination
  • Proficiency with event registration and digital platforms
  • Strong organizational and communication skills
  • Ability to manage multiple projects with competing deadlines
  • Availability for 20% travel including international trips
  • Ability to work remotely within the United States
  • Strong problem-solving and critical thinking skills
  • Ability to work independently and as part of a team
  • Capability to oversee and support onsite event operations and staff
  • Must be able to sit or stand for extended periods

Job Qualifications

  • 2-3+ years of experience in relevant roles, preferably in corporate events
  • Experience coordinating projects or events successfully from concept to execution
  • Bachelor’s degree preferred
  • Proven proficiency with event technology platforms such as Rainfocus, Swoogo, Stova, Bizzabo, Cvent, Eventbase, Airtable
  • Strong critical thinking, organizational and analytical skills
  • Excellent verbal and written communication and presentation capabilities
  • Ability to prioritize and manage workload on multiple simultaneous projects
  • Experience working in high-stress, fast-paced environments
  • Ability to maintain high confidentiality levels
  • Ability to collaborate effectively with employees, vendors, and clients

Job Duties

  • Lead the customer service workstream within projects, supporting helpdesk personnel, creating resources, and serving as an escalation and triage point
  • Serve as the primary point of contact for clients, internal stakeholders, and vendors for event technology and registration workstreams
  • Act as overall lead on small to mid-sized event projects and workstream lead on larger projects
  • Oversee tasks on multiple concurrent projects and develop, maintain, and drive workback schedules
  • Lead planning, execution, and closeout of attendee-facing event technology projects including registration websites, session scheduling, session scanning, exhibitor and speaker resource centers, and mobile apps
  • Demonstrate proficiency in digital platforms and tools, consult clients on user experience best practices
  • Create and maintain internal process documentation and ensure team adherence to procedures
  • Manage documentation and content for platform builds, translating business objectives into detailed technical specifications and project plans
  • Lead recurring client and team meetings, participate in platform demos, and technical discussions
  • Identify potential risks and develop mitigation strategies, escalating critical issues
  • Deliver projects within time and budgetary requirements
  • Oversee complex onsite deployments such as badge pick-up, session scanning, and related event technology workstreams
  • Participate in internal training and recommend process improvements
  • Manage onsite temporary staff when necessary
  • Support various staffing assignments including project management, registration, housing, and customer service
