The Hawai'i Convention Center is currently seeking a dedicated Event Manager to join their team. This full-time position, offering an annual salary range between $75,000 and $85,000, plays a pivotal role in ensuring that every event hosted at the facility is executed flawlessly. The Event Manager will be responsible for handling a wide variety of events, managing all logistical aspects and serving as the primary point of contact for clients. This role demands a keen understanding of event strategies and an ability to resolve challenges innovatively and with a client-first approach. As the face of the center during events, the Event Manager must cultivate strong relationships with clients to ensure exceptional customer service and to encourage repeat business.

Key responsibilities for this role include comprehensive event management from planning to execution, ensuring compliance with all safety regulations, coordinating with multiple internal support teams, and maintaining precise event documentation such as work orders, floor plans, and final invoicing. The Event Manager will also monitor event-related safety procedures, conduct site tours for prospective clients, and deliver pre-conference meetings and presentations as needed. This position requires an individual who can navigate a dynamic, fast-paced environment with professionalism and enthusiasm, showing adaptability to the cyclical demands of the entertainment and events industry.

The ideal candidate will have a solid background in event planning or management, with four to five years of relevant work experience. They must demonstrate excellent organizational skills, time management, and the ability to multitask effectively. Strong communication skills—both written and verbal—are essential, as the role involves frequent interaction with vendors, clients, and colleagues. Computer proficiency, particularly with Microsoft Office 365, is required. Additionally, the role demands a proactive, team-oriented attitude and the ability to handle confidential information responsibly.

Job Duties

  • Manages various types of events as dictated by ongoing event activity
  • manages all logistics for events booked at HCC
  • determines event strategies and plans how to accomplish event success
  • acts as primary contact and principle liaison during an event
  • determines needs and resolves problems by making strategic, business oriented and client-serving decisions required to ensure a successful event
  • builds and maintains successful business relationships with clients in effort to provide exceptional customer service and increase probability of future bookings
  • provides paperwork for the planning of a successful event (resumes, work orders, floor plans, event report and final invoicing)
  • provides detailed accounting of all event charges and collects payment in advance as outlined in the license agreement
  • accepts project work as assigned by the Director of Events and attends meetings regularly with various support departments to ensure open communication
  • runs reports and understands key performance indicators with the USI framework
  • ensures that customers receive correct and up to date information about programs, events and quoted prices
  • ensures customer needs are efficiently and effectively identified and questions or concerns are resolved
  • monitors events to ensure all building rules, policies and safety procedures are being adhered to and enforced during events
  • conducts site tours of facility to prospective and/or booked clients
  • shows the variety of usage, operations and functions the facility can provide
  • conducts precon meetings and presentations, as needed
