The Sr. Event Experience Manager at M&I Worldwide plays a critical role in ensuring successful event experiences by closely partnering with clients to understand their program goals, objectives, and expected returns on investment. This position is instrumental in overseeing tactical operations for virtual, hybrid, and in-person meetings and coordinating internal teams along with external clients and vendors to deliver optimal services. The role demands working in compliance with corporate and pharmaceutical industry guidelines, emphasizing precision and adherence to established protocols. The Sr. Event Experience Manager will guide and mentor junior associates, fostering professional growth within the operations department. Responsibilities include project management, financial and vendor management, event design, onsite services, and client liaison activities. This role also involves managing complex event agendas, contracts, supplier coordination, and production schedules. Strong communication and leadership skills are essential to effectively manage multiple events under tight timelines, ensuring seamless execution, budget compliance, and high client satisfaction. This role offers the opportunity to contribute creatively in event theming, marketing strategies, sponsorship recruitment, and logistical planning, encompassing elements that enhance attendee engagement and deliver world-class event experiences. Job Requirements

  • College degree or equivalent experience
  • Minimum 7+ years of meetings industry experience in operations and specialty areas
  • Knowledge of virtual and hybrid event platforms
  • Ability to travel approximately 35% domestically and internationally
  • Proven excellent oral and written communication skills
  • Demonstrated success managing large, complex projects simultaneously
  • Ability to work within tight timelines and maximize resources
  • Experience with Microsoft Office Suite
  • Proficiency in event database management systems such as Cvent
  • For Life Sciences specialty, 5+ years experience in Life Sciences programs management
  • For Conference and Tradeshow specialty, 5+ years experience in meeting or exhibit management
  • For Incentive Services specialty, 5+ years experience in incentive program management
  • Experience mentoring junior associates
  • Ability to navigate compliance policies for Life Sciences programs
  • Strong leadership skills for onsite event management.

Job Qualifications

  • Experience with database management programs such as Cvent
  • For Life Sciences specialty, minimum 5+ years in Life Sciences program or clinical management
  • For Conference and Tradeshow specialty, minimum 5+ years in meeting, conference or tradeshow management
  • For Incentive Services specialty, minimum 5+ years in incentive program management
  • Demonstrated ability to mentor and guide junior associates
  • Strong leadership and communication skills for onsite and remote management.

Job Duties

  • Project management with consultative approach for virtual, hybrid or in person meetings
  • Client, financial, and vendor management
  • Marketing, sales, event design, and onsite services
  • Manage multiple projects on tight timelines
  • Act as a mentor to associates who are new to the company or promoted to the Operations department
  • Follow all client mandated SOPs as required
  • Provide digital producer and/or tech support for own events
  • Source and secure event space and guestrooms through Procurement
  • Understand, review and monitor contract terms, space, and guest room blocks
  • Source, secure and manage all required event suppliers including DMC, AV/Production, off-site venues
  • Manage event profiles in Cvent or client Event Software, maintaining accurate event and financial data
  • Create and manage program agenda, event resume, event specification sheets and internal/client timelines
  • Guide internal and external teams through effective communication and organized plans
  • Schedule and lead internal team meetings
  • Collaborate with Group Travel Departments or TMCs for airline bookings
  • Create event mobile apps with M&I’s mobile app team
  • Act as liaison with vendors and hotels/venues for smooth execution
  • Coordinate with FLOW division for gifts and giveaways
  • Manage production schedules and show flow
  • Review and execute Banquet Event Orders (BEOs)
  • Coordinate ground transportation and distribution of travel letters
  • Conceptualize creative theming and event elements within budget
  • Coordinate speaker management and logistics
  • Incorporate client products in events
  • Plan and execute large, complex events
  • Provide leadership onsite and manage emergency preparedness plans
  • Collaborate with marketing and sales teams on promotional strategies
  • Manage budgets, payment processing and invoice reconciliation
  • Source, negotiate and manage vendor relationships
  • Provide compliance with Life Sciences policies where applicable
  • Manage Conference and Tradeshow sponsorships, floor designs and communications
  • Collaborate with Incentive Services department on guest programs and amenities
  • Mentor and guide junior-level associates throughout processes
  • Provide world class service through flexibility and quality work.
