The Sr. Event Experience Manager role at M&IW is a pivotal position focused on understanding client objectives and delivering excellent tactical event operations to maximize the client’s return on investment. Reporting to the Manager or Director of Event Experience, this role collaborates closely with internal teams, external clients, vendors, and suppliers to execute seamless event productions while complying with corporate and pharmaceutical industry standards.

This position requires a seasoned professional skilled in managing complex projects, including virtual, hybrid, and in-person events, across varied specialties such as Life Sciences, Conferences & Tradeshows, and Incentive Services. The Sr. Event Experience Manager leads planning, coordination, and execution efforts from vendor management and financial oversight to marketing, sales, event design, and onsite services. The role involves mentoring junior staff, managing event budgets, negotiating with suppliers, creating marketing strategies, and ensuring compliance with all client-mandated operating procedures.

Essential responsibilities include project and financial management, developing creative theming and event elements within budget constraints, managing detailed program agendas, and leveraging event technologies such as Cvent. The ability to navigate a mix of internal team leadership and external stakeholder communication is critical for success in this role. This manager acts as the key liaison, driving event workflow from inception through execution while maintaining accuracy in data management and budget reconciliation.

Candidates for this role should bring extensive experience in the meetings industry—specifically seven plus years of operations expertise—along with excellent communication skills, proficiency in Microsoft Office and event database management systems, and the flexibility to travel approximately 35% of the time both domestically and internationally. Specialized knowledge in Life Sciences, Conferences & Tradeshows, or Incentive Services is highly valued, as well as experience in a virtual office environment.

  • specialized experience for Incentive Services clients: minimum 5 plus years in incentive program management
  • experience working in a virtual office environment is a plus

Job Duties

  • Project management with consultative approach for virtual, hybrid or in person meetings
  • client, financial, and vendor management
  • marketing and sales, event design, and onsite services
  • manage multiple projects on tight timelines
  • act as a mentor to associates who are new to the company or promoted to the operations department
  • follow all client mandated SOPs as required
  • digital producer and/or tech support for own events
  • work with procurement department to source and secure event space and guestrooms
  • understand, review and monitor contract terms, space, and guest room blocks
  • source, secure and manage all required suppliers for event including but not limited to DMC/ground company, AV/production company, off-site venues, etc.
  • profile management in event software (Cvent or client event software) for paid conferences and related complexities
  • create and manage the program agenda, event resume, event specification sheets and client and internal timelines
  • have a working knowledge of event software capabilities and guide clients on website development
  • collaborate with attendee registration on communications, reporting, and housing inquiries
  • guide internal and external teams through process with effective communication and organized plans
  • schedule and hold internal team meetings for each event
  • collaborate with group travel or TMC for airline booking
  • work with mobile app team to create client event apps
  • act as liaison with vendors and hotel/venue for seamless event execution
  • collaborate with FLOW division for gift and giveaway coordination
  • coordinate production agenda and show flow
  • BEO review and execution
  • coordinate all required ground transportation
  • create and distribute travel letters and departure notices
  • conceptualize creative theming and elements within budget
  • coordinate speaker management
  • secure and incorporate client products or requested items
