The Sr. Event Experience Manager at M&I Worldwide plays a pivotal role, acting as the key liaison between clients and the company to ensure program goals and objectives are met while delivering measurable return on investment. This role is highly tactical and operational, working closely with internal teams, external clients, and vendors to execute seamless event experiences that comply with corporate and pharmaceutical guidelines. The manager handles a wide array of responsibilities that involve virtual, hybrid, and in-person event formats, including project management; client, financial, and vendor management; marketing and sales support; event design; and overseeing onsite services.
The Sr. Event Experience Manager is expected to manage multiple large and complex projects simultaneously under tight timelines while mentoring junior associates and ensuring all client and internal standard operating procedures (SOPs) are followed. Responsibilities include digital event production or technical support, contract and budget management, sourcing and contracting suppliers like DMCs, AV/production companies, and off-site venues, as well as managing event data and financials through platforms such as Cvent. The role demands strong communication skills and leadership to coordinate internal and external teams through various stages of the event life cycle, such as kickoff meetings, pre-con and post-con meetings, and day-of operations.
Additional specialization areas include marketing and sales event design services where the manager collaborates with creative teams to develop promotional materials, entertainment, theming, and branding elements. On the financial management forefront, the role requires strategic budget creation, cash flow governance, invoice reconciliation, and cost-saving initiatives. Vendor management, onsite services leadership, and adherence to regulatory compliance — particularly in life sciences involving healthcare professional (HCP) event policies — are core duties.
The position also expects experience with conference and tradeshow management or incentive program management depending on the assigned specialty, with a proven capacity to handle complex logistics, sponsorship and exhibitor sales, exhibit floor layout, and creative team oversight. This leadership role not only ensures world-class event delivery but also fosters junior talent development across multiple facets of event planning and execution.
