As a third-generation, privately held, certified Women’s Business Enterprise (WBE), M&IW prides itself on placing customers at the core of its operations. The company operates out of its global headquarters in Wisconsin, USA, while supporting a distributed remote workforce based across the US, UK, China, and Brazil. M&IW offers a comprehensive portfolio of management services that span across meetings, events, incentives, conferences, and tradeshows. Their expertise includes event management and design, event sourcing, attendee registration and reporting, event technology and production, creative services, event marketing and communications, gifting and engagement strategies, incentive and recognition solutions, group air travel, on-site execution and staffing, and event analytics. They also provide consulting and enterprise services such as technology implementation and administration, meeting policy optimization, third-party governance, executive dashboards and analytics, and sustainability best practices and tracking.

The role of the Sr. Event Experience Manager at M&IW is both dynamic and integral to the success of client programs. This position requires a seasoned leader who can work closely with clients to deeply understand their program goals and objectives, ensuring every aspect of the event delivers a strong return on investment. The Sr. Event Experience Manager focuses primarily on tactical operations while collaborating with the operations team to provide optimal services tailored to the client’s specific needs. Key responsibilities include project management across virtual, hybrid, and in-person events, blending strategic thinking with a consultative approach. This manager will oversee client relations, vendor management, financial oversight, event design, and onsite execution, ensuring full compliance with corporate and pharmaceutical guidelines where applicable.

This position demands mastery in managing complex, large-scale projects, multitasking effectively under tight deadlines, and mentoring junior staff. The Sr. Event Experience Manager takes leadership in digital production, event software management (such as Cvent), agenda creation, contract management, and coordination of speakers and vendors. They serve as the critical communication hub between internal teams, external clients, and third-party suppliers to foster seamless coordination and flawless event execution. Additionally, they participate in marketing and sales efforts, including sponsorship acquisition, promotional material oversight, and creative event theming. Financial stewardship is crucial, with responsibilities encompassing budget creation, cash flow management, invoice reconciliation, and cost savings initiatives.

In a geographically diverse and fast-paced environment, the manager is expected to travel approximately 35 percent domestically and internationally to support events. Expertise in life sciences, conference and tradeshow, or incentive services is preferred, with specific experience requirements tailored to each specialty. The ideal candidate demonstrates excellent oral and written communication skills, proficiency with Microsoft Office and event management software, and a proven track record in delivering high-quality, world-class events that meet and exceed client expectations. Job Duties

  • Project management with consultative approach for virtual, hybrid or in-person meetings

  • create and manage program agenda, event resume, event specification sheets and timelines
  • guide clients on website development producing quality reports
  • collaborate on attendee communications, event reporting, and housing inquiries
  • facilitate internal team meetings including kick-off, pre-con, and post-con
  • coordinate group travel when needed
  • collaborate with mobile app team
  • liaise with vendors and venues to ensure seamless event execution
  • secure gifts and giveaways meeting client and company SOPs
  • coordinate production schedule and show flow
  • execute BEO review
  • coordinate ground transportation
  • manage travel letters and departure notices
  • conceptualize creative theming, special events, and branding
  • coordinate speaker management and event logistics
  • incorporate client products in events
