Job Description

The Cedar Rapids Tourism Office is the exclusive convention and visitor's bureau contracted by the City of Cedar Rapids to promote the city as a premier destination for events and leisure travel. Focused on the strategic marketing and organization of tourism-related activities, the office plays a vital role in boosting local economic development by attracting visitors, events, and conventions to Cedar Rapids. As a pivotal part of the city’s outreach plan, the Tourism Office collaborates with local businesses, event planners, and community stakeholders to showcase the unique attractions and hospitality experiences that Cedar Rapids offers.

This role forms an integral part of the Tourism sports sales team, which is dedicated to managing and promoting sports events within the community. The position involves active engagement with tournament directors and sports clients to ensure the success of these events. Responsibilities include managing data entry for sales leads and contacts, preparing comprehensive materials to support bid submissions for hosting tournaments or sporting activities, and providing exceptional client service throughout the event lifecycle. The role demands excellent organizational skills, attention to detail, and the ability to coordinate diverse aspects such as transportation, volunteer recruitment, and on-site supervision.

The individual in this role participates in the planning and execution of site tours designed to highlight Cedar Rapids as an ideal venue for sports tournaments and recreational events. These tours are an essential part of sales presentations and help build strong relationships with tournament organizers. As a member of the sports sales team, the position also involves contributing to sales missions and representing Cedar Rapids at trade shows and industry events to generate new leads and promote the city’s offerings.

Typically working Monday through Friday from 8:30 am to 5 pm, the schedule may require flexibility for evening and weekend commitments during event times, trade shows, and holidays. This role offers an exciting opportunity to be part of a collaborative team focused on sports event management and tourism marketing, working in a dynamic office environment where greeting visitors, managing phone inquiries, and assisting with visitor requests are part of the daily routine.

Job Requirements

  • High school diploma or equivalent
  • Previous experience in event coordination or sports administration preferred
  • Ability to work flexible hours including evenings and weekends
  • Strong interpersonal skills
  • Ability to manage multiple tasks and deadlines
  • Proficiency with computer applications including CRM software
  • Valid driver’s license

Job Duties

  • Assist in the management and administration of sporting events including serving as event Tournament Director when assigned
  • Participate as a member of the sports sales team to generate new sales leads and assist in sales presentations and site tours
  • Manage CRM data entry for client leads and sales opportunities
  • Work with the Sports Director to develop successful site tours for tournament organizers and visitors
  • Participate as a member of the Tourism team in an open office environment greeting visitors and answering the main phone line
  • Coordinate transportation and volunteer recruitment for events
  • Supervise on-site event operations ensuring successful execution
