We are currently seeking a detail-oriented and highly organized Assistant Group Dining Coordinator to join The Breakers team. This full-time position plays a pivotal role in managing private group dining experiences, specifically handling reservations and bookings for parties of 15 guests or more across The Breakers' distinguished restaurants. The Assistant Group Dining Coordinator serves as a vital link between guests and the culinary teams, ensuring that group dining events are coordinated seamlessly from reservation to execution.
This role demands excellent organizational skills and a strong administrative acumen, as the successful candidate will oversee all aspects of group dining reservations. Responsibilities include booking and confirming reservations, managing guest inquiries and special requests, and collaborating internally to allocate sufficient resources like tables, seating arrangements, and menu options tailored to each event’s needs. Accuracy and attention to detail are critical, particularly in maintaining reservation records, guest preferences, and special accommodations.
Additionally, the Assistant Group Dining Coordinator will prepare and distribute menu cards that comply with The Breakers’ branding standards and work closely with the marketing team to promote group dining services. Job Requirements
- High school diploma or equivalent
- Proven experience in a similar role preferably in a fast-paced restaurant or hospitality setting
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in reservation management systems Microsoft Office Suite and CRM software
- Detail-oriented with focus on customer service
- Ability to work independently and problem-solve
- Knowledge of menu planning and menu card design is a plus
Job Qualifications
- High school diploma or equivalent
- Additional certification or training in hospitality event management or a related field is a plus
- Proven experience in a similar role preferably in a fast-paced restaurant or hospitality setting
- Excellent organizational and time management skills with ability to prioritize tasks and meet deadlines
- Strong written and verbal communication skills with ability to effectively interact with guests team members and vendors
- Proficiency in computer applications including reservation management systems Microsoft Office Suite and CRM software

- Ability to work independently take initiative and problem-solve effectively
- Knowledge of menu planning and menu card design is preferred
Job Duties
- Handle all aspects of group dining reservations including booking and confirming reservations managing guest inquiries and coordinating special requests
- Collaborate with the team to ensure availability of adequate resources such as tables seating arrangements and menu options
- Maintain accurate and up-to-date records of reservation details guest preferences and special requests
- Prepare and distribute menu cards for group events ensuring accuracy and adherence to branding guidelines
- Communicate effectively with guests providing information about menus pricing and availability
- Assist in managing the group dining calendar ensuring optimal utilization of restaurant space and staff resources
- Support the marketing team in promoting group dining services and contribute to development of marketing materials and strategies
- Assist with administrative tasks including data entry reporting and filing to ensure smooth operations of the group dining program
