Job Description

USC FPM is currently seeking a skilled and motivated Special Events Program Coordinator to join their team. This role is essential in supporting the university's special events and community engagement efforts. The Special Events Program Coordinator works collaboratively with various university departments, external vendors, donors, and volunteers to design, plan, and execute special events that enhance the university’s brand and community connections. This position requires strong organizational skills, excellent communication, and the ability to manage multiple priorities simultaneously. The coordinator is responsible not only for event logistics and staffing but also for ensuring that events align with USC’s vision and culture. They act as a liaison across diverse stakeholders to facilitate smooth event planning and execution, attend events to monitor their success, and establish post-event evaluations to gather meaningful feedback. Additional responsibilities include budget coordination, contract management, promotion, and maintaining comprehensive records of all event activities.

The hourly wage for this position ranges from $33.00 to $35.10, reflective of the candidate's experience and qualifications. Job Requirements

  • 2 years of experience in event coordination and or planning
  • experience with special events planning, fundraising management or alumni and volunteer relations management
  • experience with contracts and other legal documentation
  • ability to support event planning including developing concepts, creating and estimating budgets, producing promotional materials
  • experience with audio visual equipment
  • excellent organizational skills and ability to maintain multiple schedules
  • excellent interpersonal and written and oral communications skills
  • education high school or equivalent

Job Qualifications

  • 3 plus years of experience in event coordination and or planning preferred
  • experience in higher education preferred
  • experience planning and coordinating corporate events preferred
  • fluent in one or more languages other than English preferred
  • proven leadership and project management abilities preferred
  • understanding of relevant state and local event regulations preferred
  • bachelor’s degree in hospitality management, business administration, communications, public relations or related field preferred

Job Duties

  • Coordinates and prepares for special events
  • designs, coordinates and delivers events acting as a liaison between departments and external stakeholders
  • works with or gives guidance to volunteers and donors involved in event planning
  • determines event staffing needs and secures workers as required
  • attends events to monitor activities and ensure details are handled as planned
  • monitors delivery of goods and services to ensure contract terms are satisfied
  • coordinates vendor services for goods and services related to special events planning
  • researches and maintains current information on volunteers, donors and prospective donors
  • reviews and reconciles budgets and expenditures on a program or event basis
  • coordinates with internal members to process payments to vendors
  • ensures consistency and quality of materials communicated
  • contributes to an inclusive environment by building and maintaining strong cross-functional relationships
  • participates in publicizing events through marketing and promotional campaigns
  • identifies target groups and coordinates mailings of promotional materials and invitations
  • directs logistical planning
  • maintains records of event activities, progress and status
  • performs other duties as assigned or requested
