The Special Events Lead role at Bluestaq is a high-visibility, high-ownership position responsible for managing the company's entire event portfolio. This portfolio ranges from high-profile engagements such as national defense conferences and a large 500-person annual company event to the very first day experience that every new hire encounters. Travel flexibility, physical stamina for event setup and teardown, and the ability to work flexible hours including evenings and weekends are essential. Job Requirements
- Minimum of 5 years of event planning experience
- Ability to lift and carry up to 50 pounds
- Capability to stand, walk, and remain onsite for extended periods
- Must be able to navigate venue spaces including stairs and outdoor areas
- Willingness to travel as needed
- U.S. citizenship required for security clearance
- Ability to pass background and credit checks
- Prolonged periods sitting at a desk and computer work
- Must live locally or relocate independently
- Flexibility to work evenings and weekends
- Ability to manage multiple concurrent projects
Job Qualifications
- Minimum of 5 years of experience in event planning and coordination with large-scale events

Job Duties
- Lead the planning, coordination, and execution of all company events including conferences, symposium booths, and annual parties
- Develop innovative event concepts, themes, and experiences aligned with company brand and objectives
- Source, negotiate, and manage relationships with vendors, suppliers, and venues
- Create and manage event budgets ensuring financial accountability
- Oversee all logistical aspects including scheduling, catering, transportation, accommodations, equipment rental, and on-site setup
- Provide hands-on leadership during events, troubleshooting and resolving issues
- Collaborate with internal teams and stakeholders for alignment on event goals and updates
- Ensure compliance with local regulations, safety standards, and company policies
- Conduct post-event evaluations to gather feedback and improve future events
- Develop and maintain event timelines and project plans
- Coordinate cross-functional teams providing clear direction and fostering collaboration
