Job Requirements

  • Bachelor's degree from an accredited college or university
  • Minimum three years of related experience in recreation event planning or programming
  • Valid driver's license with acceptable driving record
  • Ability to work flexible hours including weekends, holidays, and special events
  • Ability to lift up to 50 pounds
  • Ability to work in varied weather conditions during events
  • Certified Parks and Recreation Professional (CPRP) preferred
  • Strong organizational and time management skills

Job Qualifications

  • Bachelor's Degree from an accredited college or university in parks and recreation, event planning, or a related field, and three (3) years of related recreation event planning or programming experience is required
  • An equivalent combination of education, training, and experience will also be considered
  • Advanced knowledge of city and departmental practices, procedures, and systems
  • Knowledge of public relations and advertising as it relates to event programming
  • Knowledge of the equipment, facilities, operations, and techniques used in comprehensive community programs
  • Must have knowledge of planning, assigning, supervising, and scheduling the work of employees and volunteers
  • Knowledge of and ability to correctly interpret, explain, and apply laws, rules, operations, practices, procedures, regulations, and policies
  • Ability to effectively supervise staff in a proactive, appropriate, and productive manner
  • Ability to effectively address and resolve employee relations issues in a fair and equitable manner
  • Demonstrates effective problem-solving skills in dealing with directions or conflicts that may arise

  • Must possess and maintain a valid driver’s license with acceptable driving record as established by the City of Midlothian driving standards
  • Work performed may cause fatigue of eyes and other faculties because of fairly continuous use of motor senses
  • On occasion, this position may require some physical effort, including prolonged periods of standing and lifting up to 50 lbs
  • Requires availability to work a flexible schedule including weekends, holidays, and special events

Job Duties

  • Under general supervision, the Special Events Coordinator develops, coordinates, plans, and implements special events for the Parks and Recreation Department and facilitates non-city special event permits
  • Plans, coordinates, implements, promotes, oversees, and evaluates a variety of community special events held by the Parks & Recreation Department that reach a wide range of audiences
  • Coordinates and corresponds with outside agencies and resources for proper programming and/or planning
  • Coordinates and corresponds with the Convention of Visitors Bureau, Chamber of Commerce, and other outside agencies and resources for proper programming and/or planning
  • Supervises, trains, oversees, and provides guidance to assigned staff and volunteers
  • delegates assignments and monitors performance
  • Selects and schedules vendors as required, including entertainment forevents
  • Oversees vendors' work
  • Enforces and monitors adherence of safety rules and regulations
  • Performs cost control initiatives and ensures activities are performed within budget

  • Processes Special Event Permit (SEP) applications and creates staff reports for City Council approval
  • Supervises and trains assigned parks employees, instructs personnel in appropriate event standards, operations, and communication methods, and participates in and coordinates the set-up and take down of event equipment and features
  • Performs all other duties as assigned
  • Works primarily in climate controlled office environment with occasional exposure to extreme weather conditions and outdoor elements during special events
  • Physical demands include light lifting, sitting, walking, and standing
