Job Requirements

  • High school diploma or equivalent
  • Three years of full-time experience in event coordination or public outreach
  • Ability to work flexible hours including evenings and weekends
  • Strong communication and organizational skills
  • Ability to lift and move 30 pounds with assistance
  • Able to travel within the Bay Area
  • Proficient in Microsoft Office Suite
  • Willingness to collaborate across teams and external partners
  • Experience using event planning and communications software preferred

Job Qualifications

  • High school diploma or equivalent
  • Three years of full-time experience leading and coordinating public events, campaigns, or outreach activities
  • Ability to work flexible hours including evenings and weekends
  • Bachelor’s degree in communications, public relations, marketing, public administration, or related field preferred
  • Experience in public agency, nonprofit, or transit environment preferred
  • Knowledge of event planning principles and best practices
  • Experience with community engagement and digital and in-person outreach strategies
  • Proficient in Microsoft Office Suite, AI Communications, and Mailchimp
  • Clear and effective oral and written communication skills
  • PeopleSoft experience preferred
  • Ability to lift and move 30 pounds with assistance
  • Ability to travel within Bay Area counties

Job Duties

  • Serve as project manager for high-profile transit agency events such as SamTrans 50th Anniversary celebrations and annual Caltrain Holiday Train
  • Coordinate logistics and planning for agency-hosted events including ribbon cuttings, groundbreaking ceremonies, open houses, town halls, and community outreach campaigns
  • Support regional events involving SamTrans, TA or Caltrain such as transportation fairs, street festivals, and public information booths
  • Serve as liaison to cities, event organizers, community partners, and elected officials to coordinate agency participation in events
  • Collaborate with internal departments and contractors to secure permits, safety plans, signage, transportation services, and staffing
  • Collaborate with Public Information Officers on talking points and briefings for agency executives and board members
  • Draft event-related collateral including signage, invitations, run-of-show scripts
  • Track event budgets and process invoices according to agency procedures
  • Maintain a master event calendar and archive of past events and materials
  • Support photography and communications staff with event-day logistics and documentation
  • Provide on-site event support including setup, teardown, and vendor coordination
  • Assist with data collection and post-event evaluation for improvement
  • Coordinate multiple events and deadlines with high attention to detail
  • Perform other duties as assigned
