Job Requirements
- High school diploma or equivalent
- Five years of relevant clerical or secretarial experience
- Valid in-state California driver’s license with insurance
- Ability to work full-time Monday through Friday 8:00 a.m. to 5:00 p.m.
- Ability to work occasional extended hours and weekends for events
- Proficient with office software and event management systems
- Strong organizational and communication skills
- Ability to travel to off-campus events using a private automobile
- Ability to drive electric cart on campus
- Compliance with CSU employment policies
- Successful completion of background check
Job Qualifications
- High school diploma or GED or equivalent
- Five years of progressively responsible experience in general clerical or secretarial work or equivalent
- Valid California driver’s license with required insurance
- Comprehensive knowledge of university policies and office software
- Ability to manage multiple priorities independently
- Strong business math and budgeting skills
- Effective interpersonal and communication skills
- Experience working with sensitive and high-level stakeholders
- Proficient use of event management systems like Raiser’s Edge and 25 Live
- Experience with Canva or similar design tools
- Experience in volunteer management
- Preferably experience in special events coordination
- Ability to work beyond standard hours including weekends
- Pleasant and professional demeanor
Job Duties
- Coordinate event logistics for university leadership and donors including invitations, RSVPs, vendor payments, and supplies
- Research and manage special event details such as performers, venues, and catering
- Maintain event budgets, process sponsorships, ticket sales and purchase orders
- Assist with event set-up, registration, check-in, nametags, and troubleshooting on-site issues
- Interact with high-level donors and guests ensuring compliance with DEI principles
- Manage volunteer recruitment, training, scheduling, and direction for campus events
- Utilize Raiser’s Edge and 25 Live systems for event and reservation management
- Design and edit event communications and signage using Canva
- Support commencement event coordination including registration and logistics
- Supervise office inventory and printing requests, manage office administration tasks
- Process travel reimbursements and event-related financial transactions via Concur
