The role of Special Events Assistant at Calvary Church is integral to the success of the church’s broad portfolio of events and community outreach initiatives. This position directly supports the Special Events Director and coordinators by managing multiple facets of event planning, volunteer coordination, and administrative duties that contribute to the seamless execution of church celebrations and outreach programs. - Minimum three years office experience

Job Duties
- Assist the Special Events Director and/or coordinator in maintaining Calvary culture and culture axioms
- Be available for event set up, running, and teardown including the day before, day of, and day after events
- Lift 50lbs+ and remain on feet for extended periods during events
- Run errands for events and guests
- Communicate effectively with Special Events teams, volunteers, and Calvary staff
- Lead, train, and oversee volunteers for outreaches and events
- Serve as primary point of contact for all volunteers and manage volunteer communications
- Prep event supplies, organize dressing and green rooms, and host guests with professionalism
- Handle administrative tasks including checklist creation, budget research, vendor coordination, and booking
- Identify community needs and mobilize teams to address them
- Implement processes to ensure event smoothness and excellence
- Order and distribute materials required for community needs and events
- Collaborate with other church departments for promotional material distribution
- Maintain detailed records of outreach and event efforts
- Coordinate church community initiatives and special events such as Easter, National Day of Prayer, and conferences
- Organize weekly department head meetings
- Recruit and assign volunteers according to event needs
- Manage all Calvary Outreach Events including Thanksgiving Pickup Party and Christmas Toy Shop
- Oversee details and teams related to Calvary Toy Shop including volunteer recruitment, toy processing, and distribution planning
- Work under direction from SE Director and assistants to complete tasks within deadlines
- Be available for weekend and evening work for event preparations and hosting
- Perform general office duties such as answering phones, filing, scheduling, and managing calendars
- Handle money properly with familiarity of protocol
- Generate documents, spreadsheets, and presentations
- Use relevant software including Microsoft Office suite, Teams, Ministry Platform, eSPACE
- Attend staff and departmental meetings
- Communicate with various levels of church departments and external partners
- Assist with annual board reports for the Special Events department
