The Louisville Bats are currently seeking a part-time Special Events Associate who will play an integral role in the planning and operational execution of various events hosted at Louisville Slugger Field. This entry-level position is ideal for local college students, recent graduates, or individuals passionate about building a career in the events and hospitality industry. The Special Events Associate will collaborate closely with the Special Events Manager to support the logistics surrounding event setup, execution, and breakdown, ensuring each occasion runs smoothly and exceeds client expectations. This role requires enthusiasm, strong organizational skills, and excellent communication abilities, with an opportunity to gain hands-on experience in event management within a professional sports setting.
In this role, the Special Events Associate will serve as a key liaison between clientele, vendors, and internal team members. Responsibilities include managing inquiries, scheduling event walkthroughs, creating detailed event diagrams according to client and management requests, and contributing creative ideas for ancillary events such as Drinks on the Diamond and Trick-or-Treat around the Ballpark. The associate acts as the day-of contact for assigned events, overseeing various tasks to facilitate flawless event experiences. Because the schedule involves evenings, weekends, and holidays tied to event dates, candidates must be flexible and committed to supporting events outside of traditional business hours.
This position is hourly, non-exempt, and part-time, with options for credit internship opportunities, presenting a valuable chance for those seeking practical work experience while balancing academic or other professional commitments. Job Duties
- represent the organization at events hosted at Louisville Slugger Field
- support the Special Events Manager with event day logistics such as setup, tear down, and anything required to successfully execute an event
- serve as primary contact for all event inquiries, up to and including scheduling walkthroughs for the Special Events Manager
- contribute creative ideas for Louisville Bats ancillary events such as Drinks on the Diamond and Trick-or-Treat around the Ballpark
- act as day-of contact for events as assigned
- schedule event holds on master calendar
- create diagrams based on client and Special Event Manager’s event layouts
- duties as assigned
