The Event Production Coordinator will take on the responsibility of coordinating all aspects of event logistics including detailed CAD drawings creation, production meetings, and time and action planning. This position demands leadership on the jobsite, where the coordinator acts as the main authority and guide for all field staff during event setup, execution, and strike phases. Safety is a top priority in all operations, and the coordinator is expected to actively promote safe practices at every stage of the event delivery process.
This role also requires strong collaboration with sales personnel, customers, external vendors, and operations staff to ensure that all event components are aligned and meet the client’s vision and logistical needs. The coordinator will conduct site walks to develop accurate and detailed CADs that support sales and client requirements, ensuring event setups are executed successfully and efficiently. A critical part of the job is producing comprehensive Time and Action plans that include crew assignments and event timelines to maintain a structured and organized workflow.
Further responsibilities include coordinating transportation with dispatch to meet event logistics needs and creating detailed Handling Equipment forms to accompany contracts for operations pulling. The ideal candidate will have a creative and resourceful approach to problem-solving, excellent communication skills, and a strong customer service orientation. Job Requirements
- HSD/GED
- Valid driver’s license and clean motor vehicle record
- 6 months prior experience setting up large tents for outdoor events such as weddings, festivals, corporate retreats, etc.
- 6 months prior experience setting up stages, pipe and drape, tables, chairs, linen and other special event equipment
- 2 years experience in events industry with technical familiarity in terms of equipment, techniques, supplies, tenting, event management, event sales, safety practices, and hazard identification
- Strong skills in event production, time management, as well as interpersonal and customer service skills
- Displays leadership skill including positive attitude, preparedness, diligence, endurance & energy
- Proficiency in PartyCAD and/or other CAD software
- Proficiency with, or aptitude to learn, Point of Rental software
- Proficiency in Word, Excel, Outlook
- Creative, resourceful, and flexible approach to solving problems
- Demonstrated written and oral communication skills
- Strong initiative and will convey appropriate sense of urgency
- Highly developed organizational and delegation skills
- Deep commitment to customer service and quality

Job Qualifications
- Four-year degree with emphasis in project management or related field or project management certification
- Proficiency in PartyCAD and/or other CAD software
- Proficiency with, or aptitude to learn, Point of Rental software
- Proficiency in Word, Excel, Outlook
- Demonstrated written and oral communication skills
- Strong initiative and will convey appropriate sense of urgency

Job Duties
- Coordinate all aspects of event productions including CADs drawings, production meetings, and Time and Action plans
- Promote and practice safety in all aspects of event delivery, setup, strike and pick-up
- As the designated authority on the jobsite, provide leadership to all field staff
- Works collaboratively with sales personnel, customers, outside vendors, and operations staff
