Carvertise is currently seeking a Special Events Coordinator to join their dynamic team. This role is essential to the company’s mission of delivering flawless promotional events that showcase wrapped vehicles and ensure that client campaigns meet or exceed expectations. The Special Events Coordinator will be responsible for planning and executing a variety of driver-related events, including vehicle “SWARMS,” conferences, and other promotional activations, whether conducted remotely or in-person. The ideal candidate will be a detail-oriented, quick thinker who can flexibly manage the logistics of events and maintain excellent communications with drivers and clients to guarantee smooth campaign delivery.
This position is generally full-time, Monday through Friday, with hours from 11:00 AM to 7:30 PM. However, flexibility is crucial as event schedules may require evening, weekend, and holiday work. Approximately 50 percent travel, including overnight stays, will be required to support a busy event calendar. The Special Events Coordinator will be a central figure in monitoring ongoing campaigns, troubleshooting issues, communicating with drivers, and executing contingency plans like incentives or contests to ensure campaign goals are met. They will also be responsible for generating and formatting detailed reports for clients and internal teams, monitoring driver tracking systems, launching surveys and contests, and supporting overall team development and process improvement initiatives.

Job Requirements
- Bachelor’s degree in Business, Communication, or related field preferred
- minimum 2 years event execution experience preferred
- ability to travel approximately 50% including overnight and weekends
- excellent verbal and written communication skills
- strong multitasking and organizational skills
- compliance with company procedures
- ability to work independently and as part of a team
- proficiency with technology including CRM and data management software
- physical ability to remain seated for extended periods and travel to event locations
- positive and professional demeanor
Job Qualifications
- Bachelor’s degree in Business, Communication, or equivalent discipline preferred
- minimum 2 years experience in an event execution setting preferred
- prior experience working with remote stakeholders is a plus
- highly effective verbal and written communication skills across various audiences
- ability to multitask with speed, accuracy, and proficiency
- self-motivated, goal-oriented, and organized
- compliance with company processes and policies
- creative problem-solving skills and adaptability

Job Duties
- Executes standard and unique campaign events, whether remotely or in person, including vehicle SWARMS and conference requests
- maintains availability during driver campaign execution window and coordinates driver logistics to ensure campaign targets and agreed-upon terms are met
- owns event execution by identifying gaps and implementing incentives or contests to meet targets
- regularly communicates with drivers about events, app tracking, and incident resolution
- generates regularly scheduled and ad hoc reports on campaign execution, milestones, and results for clients and internal teams
- maintains and monitors driver tracking systems, adding or removing drivers and troubleshooting as needed
- launches driver surveys, contests, and irregularly scheduled events, organizes communications and reports results
- provides professional communication and data for clients, team, and leadership
- provides on-the-job training to support team development
- supports process improvement initiatives and updates procedures as needed
- performs other tasks or special projects assigned by leadership
