Job Description

Our stadium is a premier multi-use facility that hosts major sporting events, concerts, and large-scale conventions almost 365 days per year. The venue operates in a fast-paced, dynamic environment focused on exceptional service, safety, and efficiency. With events scheduled on weekends, evenings, and holidays, the team works collaboratively to deliver seamless event experiences for thousands of guests and participants. This stadium is not just a place for entertainment but a hub for large community and cultural gatherings, making operational excellence imperative.

The Planner / Scheduler / Dispatcher role is crucial to the smooth operation of all events held at the stadium and convention center. This individual is responsible for coordinating and optimizing labor and resources to ensure flawless execution. The position entails managing shift scheduling, work loading, fiscal planning and forecasting, and labor cost optimization. The successful candidate will be highly organized, data-driven, and adept at navigating the complexities of a large facility hosting diverse events regularly. This role requires regular interaction with multiple departments, including janitorial, operations, and facilities teams, to ensure all staffing and resource needs are met. The Planner / Scheduler / Dispatcher will also act as a central point of contact for scheduling and dispatch inquiries while providing management with detailed reports on labor utilization, costs, and operational risks. The position demands availability during nights, weekends, and holidays and involves working both in office settings and throughout the stadium during event operations.

  • Ability to sit or stand for extended periods and move throughout a large facility

Job Qualifications

  • 3+ years of experience in workforce scheduling, dispatching, or operations planning in a stadium, arena, or large-scale event environment preferred
  • Strong understanding of labor budgeting, forecasting, and cost control
  • Proficiency in scheduling software, workforce management tools, and Microsoft Excel
  • Excellent organizational, communication, and problem-solving skills
  • Ability to thrive in a fast-paced environment and make quick, data-driven decisions
  • Availability to work evenings, weekends, and holidays as needed

Job Duties

  • Develop, publish, and adjust employee schedules for all events, including nights, weekends, and holidays
  • Dispatch staff and contractors to appropriate zones and functions based on event needs
  • Track attendance and manage last-minute changes to ensure adequate coverage
  • Adjust schedule as needed based on additional customer requests and changes to operations plan
  • Allocate tasks and labor hours based on event size, location, and complexity
  • Coordinate with event managers, custodial, security, and facilities teams to align staffing with operational requirements
  • Maintain up-to-date rosters of on-call and seasonal staff
  • Prepare weekly and monthly labor forecasts based on event calendars and historical trends
  • Monitor actual versus budgeted labor and overtime costs, identifying variances and recommending corrective actions
  • Contribute to annual staffing budgets and cost-per-event analyses
  • Implement systems and processes to improve labor efficiency and reduce waste
  • Evaluate vendor/subcontractor usage and recommend adjustments to improve cost control
  • Track key performance indicators (KPIs) related to staffing and cost effectiveness
  • Serve as the central point of contact for scheduling and dispatch inquiries
  • Provide regular updates to management on staffing levels, costs, and operational risks
  • Produce reports for leadership summarizing labor utilization and event support metrics
  • Sit in operations meeting and provide meeting notes and minutes
  • Create and maintain archive system of all events for referral and retention of relevant knowledge
