Job Requirements

  • Bachelor's degree or equivalent work experience in office coordination or facilities management
  • Minimum of 3 years experience in workplace operations or facilities coordination
  • Proven experience managing vendor relationships and facility maintenance
  • Strong organizational and time management skills
  • Proficiency with workplace management software
  • Excellent communication and interpersonal skills
  • High level of emotional intelligence
  • Ability to handle multiple priorities and work independently
  • Knowledge of building systems and security protocols
  • Experience in event planning and budget management
  • Ability to collaborate effectively with cross-functional teams
  • Commitment to upholding security, privacy, and compliance standards

  • Event planning and vendor management experience
  • Space management and planning experience
  • Budget management and tracking skills
  • Comfort with internal stakeholder engagement and cross-team collaboration
  • Working knowledge of physical security systems
  • Ability to adapt and thrive in a dynamic, fast-paced environment

Job Duties

  • Oversee daily operations of the Boston HQ and ensure a welcoming environment
  • Manage vendor relationships including janitorial, building security, and maintenance teams
  • Maintain the upkeep and organization of all common spaces
  • Plan and execute on-site events and internal vibe initiatives
  • Coordinate preventive maintenance and handle facilities-related needs
  • Act as liaison to building management for all facility matters
  • Support space planning and emergency preparedness procedures
  • Maintain physical security and access control processes
  • Track and manage the local operational budget
  • Collaborate with internal teams to support cross-functional programs and OKRs
  • Provide guidance to team members and contribute to global workplace initiatives
