This role is a specialized position supporting Amazon's high-profile corporate real estate facilities in San Francisco, CA. It involves supervising and coordinating high-level special events and meetings, ensuring seamless execution in spaces frequently hosting large, complex events. The position is pivotal in managing event support teams, set-up crews, and third-party vendors to deliver outstanding experiences for the client. Beyond operational execution, the role contributes to establishing best practices, processes, and procedures in event management aligned with JLL’s goal to provide exemplary corporate real estate services.

The Event Coordinator will be responsible for comprehensive end-to-end event management including intake, logistics coordination, and onsite support in dynamic environments. Communication with clients, vendors, and internal stakeholders is essential, as is collaboration with teams responsible for facility management, security, audio/visual requirements, and more. The position also incorporates budget management, vendor procurement, and compliance oversight to ensure events meet company policies and safety standards.

This role demands strong project management abilities, organizational skills, and experience working in fast-paced, matrixed environments with multiple priorities. Candidates must demonstrate vendor coordination skills, financial tracking competence, and the ability to manage diverse stakeholders diplomatically. The ability to develop and optimize processes, create event planning documentation, and lead continuous improvement initiatives will be key for success.

The position offers an estimated compensation range of $79,000 to $114,700 annually and includes comprehensive benefits promoting personal well-being and professional growth, such as medical, dental, vision care, 401(k) plans with company match, paid parental leave, paid time off, and early earned wage access. The work schedule is flexible and may require evening and weekend coverage for onsite events. This role is based onsite in San Francisco and does not provide visa sponsorship; candidates must be authorized to work in the United States. Job Requirements

  • Bachelor's degree or equivalent
  • Minimum 4 years relevant experience in event coordination or related fields
  • Proficiency with Microsoft Office applications
  • Strong organizational and project management skills
  • Ability to manage vendor relationships and event logistics
  • Experience in budget management
  • Knowledge of compliance and procurement processes
  • Availability to work flexible hours including nights and weekends as needed
  • Physical ability to conduct site visits and onsite support

Job Qualifications

  • Bachelor's degree or equivalent with 4 or more years of experience in event coordination, event planning, facilities management, or event administrative support
  • Strong project management and organizational skills
  • Ability to manage multiple stakeholders and competing priorities in fast-paced environments
  • Vendor management and coordination experience
  • Budget management and financial tracking skills
  • Knowledge of procurement policies, compliance, and certificates of insurance (COI) processes
  • Experience in matrixed or dotted-line reporting environments preferred
  • Advanced proficiency in Microsoft Office including Word, Excel, and Outlook
  • Exceptional written and verbal communication skills with strong grammar and proofreading
  • Ability to collaborate professionally across functions

Job Duties

  • Provide end-to-end event management support including intake, logistics coordination, and onsite execution
  • Process event requests via Meetings & Events Portal and disseminate event-related communications to stakeholders
  • Coordinate and lead event planning meetings and walkthroughs with Amazon Event Organizers and partners
  • Manage space and venue coordination including booking, setup, and approvals
  • Serve as a primary liaison among facility management, security, AV, and service partners to ensure all event requirements are met
  • Supervise event support staff and third-party vendors during event execution
  • Respond to event organizer inquiries and proactively manage event logistics to ensure excellent customer experience
  • Ensure compliance with company policies, permits, and vendor insurance requirements
  • Develop and optimize event processes and documentation
  • Contribute to continuous improvement, program metrics, and feedback loops
  • Plan and execute large-scale events including leadership offsites and cultural celebrations
  • Maintain events calendar and create customized planning documents and checklists
  • Oversee day-of-event operations including logistics, personnel, and vendor coordination
  • Provide onsite presence for event troubleshooting and smooth operations
  • Lead vendor selection and coordinate logistics including site access and setup
  • Manage event signage and printed materials for professional appearance
  • Collaborate with cross-functional teams and onsite staff
  • Maintain budget templates and manage budget compliance and tracking
