Job Description

This job opportunity is with a dynamic organization specializing in large-scale corporate event management and planning. The company is renowned for successfully executing a wide range of events, from intimate executive team retreats and headquarters events hosting 10 to 299 attendees to expansive multi-day conferences accommodating over 1,600 attendees. As a dedicated leader in corporate event services, the organization focuses on delivering exceptional, seamless experiences by meticulously coordinating every facet of event planning. This includes strategic vendor sourcing, contract negotiations, and comprehensive financial stewardship to ensure optimized event value and efficiency. The corporate culture values adaptability, teamwork, and initiative, fostering an environment where employees can thrive while managing complex logistical demands and contributing to company growth through professional event execution.

The role offered is pivotal within the event management team, entailing end-to-end planning responsibilities for diverse corporate events. The event planner will spearhead all critical aspects of event coordination including research, design, execution, and oversight of corporate meetings and conferences. Responsibilities range from handling vendor relationships and contract negotiations to managing multi-project budgets, detailed tracking of expenses, and reconciliation processes. Operational logistics are a key component, involving the management of complex itineraries, registrations, meal planning with dietary accommodations, and the procurement of event collateral such as name badges, signage, and promotional items. This role also requires collaboration with Travel Management Companies on travel arrangements and large meeting preparation.

The position demands strong communication skills to develop professional and engaging event-related communications, including emails and marketing materials. Travel support for executive management and visitors traveling to and from the Bend, Oregon area is part of the role, with the job requiring occasional travel 2 to 3 times annually for multi-day event management and on-site visits. The planner will also partner with department managers and other stakeholders to assist with website and app development, executive presentations, and post-event analytics to refine future event formats and programming. The role suits a highly organized, detail-oriented professional seeking a collaborative work environment with a hybrid work arrangement option, combining office presence and remote work. The position offers a comprehensive benefits package, including medical, dental, vision, life insurance, paid time off, and professional development opportunities, underscoring the company’s commitment to employee well-being and career growth.
