Job Requirements

  • Bachelor’s degree in hospitality, business, facility management or related field
  • Minimum 3 years of experience in hospitality and/or customer service
  • Minimum 3 years of event planning, meeting planning, or production experience
  • Ability to work extended and irregular hours including nights, weekends and holidays
  • Ability to work independently with minimal supervision
  • Strong interpersonal, communication and organizational skills
  • Proficiency in Microsoft Office suite including Word, Excel and PowerPoint
  • Ability to use event management software after training
  • Must be self-motivated and energetic
  • Ability to multitask effectively
  • Must maintain a professional appearance and attitude
  • Ability to work indoors and outdoors and stand or walk up to 8-10 hours daily
  • Willingness to be accessible 24 hours via phone or email in emergency situations

Job Qualifications

  • Bachelor’s degree in hospitality, business, facility management or related field
  • Minimum 3 years of experience in hospitality and/or customer service
  • Minimum 3 years of event planning, meeting planning, or production experience
  • Certified Meeting Planner (CMP) preferred
  • Exceptional interpersonal, organizational, communication and presentation skills
  • Excellent negotiation skills
  • Demonstrated business judgment with ability to make timely decisions
  • Strong planning, organizing and prioritizing capabilities
  • Ability to work independently with minimal supervision
  • Proficient multitasking ability
  • Self-motivated with high ethical standards
  • Skilled in Ungerboeck Event Management software (after training)
  • Problem-solving skills with ability to gather and analyze information accurately
  • Willingness and ability to work extended, varying schedules including evenings, weekends and holidays
  • Professional image and attitude
  • Strong computer skills including Microsoft Word, Excel and PowerPoint

Job Duties

  • Assist with supervision of event managers and event coordinators
  • Meet with customers to plan and organize assigned meetings and events
  • Coordinate activities with various service contractors for assigned meetings and events
  • Assign events to event management team in absence of director
  • Provide exceptional customer service, hospitality, and prompt attention to customer needs
  • Provide timely and accurate information necessary to produce events
  • Manage multiple events and phases of event production
  • Act as key contact with customers for communication and logistical requirements
  • Implement facility rules, regulations, policies and procedures
  • Anticipate problems and propose appropriate solutions
  • Review and approve all event requirements before distribution
  • Guide customers in preparation by interpreting contract provisions, policies and procedures
  • Inform customers on status of deadlines including floor plan submissions and insurance requirements
  • Communicate detailed requirements timely to operational departments
  • Assist in scheduling operational set-ups
  • Monitor and supervise facility set-up as required
  • Assist in training event services staff
  • Serve as liaison between customers and facility departments
  • Monitor in-house events maintaining contact with customers and staff
  • Attend event and facility meetings to support operations
  • Support secondary event manager program
  • Be accessible 24/7 including holidays for emergencies
  • Collaborate with Philadelphia Convention Visitors Bureau, contractors, and internal partners
  • Manage event decisions based on PCC/ASM Global policies
  • Maintain safety awareness on exhibit hall floor
  • Ensure availability of PCC/ASM Global equipment contracted for events
  • Serve as manager on duty as required
  • Work extended and irregular hours including nights, weekends and holidays
  • Promote and fulfill ASM Global goals and brand promise
  • Participate in safety programs
  • Assist with projects and special assignments
  • Cover primary, secondary shifts and event floor manager responsibilities
  • Perform other duties assigned by Director of Event Management and Business Analysis
