The Senior Coordinator of University Events & Experiences plays a pivotal role in managing and executing a diverse portfolio of university events that align with UT Austin's strategic goals. The position entails meticulous planning and coordination from inception to completion, involving collaboration with multiple internal and external stakeholders including university departments, vendors, student organizations, and event participants. Responsibilities include scheduling planning meetings, managing real-time event budgets and schedules, ensuring compliance with procurement and finance policies, and providing hands-on oversight at event venues.
This exempt full-time position requires strong organizational skills, the ability to multitask effectively under tight deadlines, and direct involvement in event logistics such as venue reservations, staff coordination, security arrangements, and entertainment bookings. The Senior Coordinator is also tasked with maintaining thorough and organized documentation for each event, ensuring all files including contracts, approvals, invoices, and post-event reports are accurately stored and accessible.
The role is based on the UT Austin main campus in Austin, Texas, with a scheduled 40-hour work week and a standard Monday-Friday daytime schedule, though flexibility for nights, weekends, and travel is necessary to support special events. The position offers a competitive salary starting at $62,000 plus, commensurate with experience and qualifications, and includes comprehensive benefits like insurance and retirement options.

Job Requirements
- Bachelor's degree or equivalent experience in event management, hospitality, or related field
- minimum two years of experience in event management or a comparable role
- strong organizational, interpersonal, and communication skills
- proficiency in Microsoft Office Suite and project management systems
- experience with event management and asset tracking software
- ability to manage multiple priorities effectively

Job Qualifications
- Bachelor's degree or equivalent experience in event management, hospitality, operations, or related field
- at least two years of experience in event management, hospitality, operations, or comparable roles, preferably supporting logistics for private and large-scale events
- proven strong organizational, interpersonal, and communication skills
- proficiency in Microsoft Office Suite, calendar management, project management, and inventory management systems
- experience using event management and asset tracking software
- ability to exercise sound judgment and adapt in fast-paced environments
- detail-oriented with capacity to manage several projects and meet deadlines
- experience coordinating logistics, site planning, and on-site supervision of labor and vendors
- skilled in maintaining standard operating procedures
- demonstrated commitment to professionalism, accountability, and excellent stakeholder service

Job Duties
- Build and maintain effective working relationships with office colleagues, university services, external vendors, student organizations, and campus partners
- schedule kickoff and follow-up planning meetings for assigned events with project managers
- prepare agendas for meetings with external stakeholders as needed
- manage event budgets and production schedules in real time, ensuring accurate, up-to-date information is maintained
- maintain and organize all event files ensuring all documents are properly saved in designated Box folders
- provide coordination of assigned tasks specific to event planning for Donor Engagement and Strategic Engagement events and other events assigned
- independently provide proactive day-to-day logistical planning and coordination of general production duties including venue and space reservations, vendor contracting and management, parking and transportation requests, security notifications and requests, facilities work orders, identify staffing levels and submit requests, manage on-site student volunteer and intern support, book entertainment and music performers
- provide on-site event execution by managing production schedule, safety coordination, load-in/setup, and strike/reset activities
- collaborate with UEE finance to ensure timely procurement and payment of vendors with adherence to university policies
- execute event close-out processes ensuring completion and accurate documentation of production schedules and budgets
- perform additional duties as assigned
