The Associate, Industry Engagement role at Suffolk is designed to provide vital support to the Director of Industry Engagement. This position plays a crucial role in managing Suffolk’s association memberships, sponsorships, conference strategies, and external relationship activities to ensure flawless execution and operational efficiency. The Associate is a key contributor to sustaining and expanding Suffolk's network within the industry by managing complex logistics and supporting senior leadership to focus on high-impact relationship building and strategic objectives. This role requires a self-starter with exceptional organizational skills, attention to detail, and the ability to anticipate needs, translating into seamless event coordination and stakeholder engagement.

In this role, you will be the operational backbone facilitating the logistics of industry conferences, association events, speaking engagements, board meetings, and sponsorship activations. From initial planning stages through to post-event analysis and reporting, you will coordinate efforts to ensure maximum engagement and return on investment. Managing a calendar of association memberships, renewals, dues, and deliverables is critical to maintaining Suffolk's visibility and influence within key industry groups. You'll also track executive commitments and prepare briefing materials, agendas, and summaries that enable leadership to stay informed and effective.

Supporting Suffolk's leaders and subject matter experts in panel discussions, industry appearances, and external events involves scheduling, travel arrangements, and preparation of relevant materials. Your role will extend to maintaining meticulous systems for tracking engagement metrics, key contacts, and ROI data within CRM platforms, ensuring the company’s strategic efforts are data-informed and well-coordinated. Collaboration across departments such as Business Development, Marketing, Government Affairs, and Community Relations is essential to creating a unified approach to industry engagement initiatives.

The Associate will also be responsible for conducting research on potential new associations, industry events, and partnership opportunities, providing insights and recommendations to the Director. Administrative duties such as scheduling, expense reporting, invoice processing, and file management round out this comprehensive and dynamic role. Job Qualifications

  • 3-5 years of experience in an administrative, event coordination, corporate affairs, external affairs, or related role
  • Exceptionally organized and detail-oriented, with the ability to manage multiple workstreams and shifting priorities simultaneously
  • Proactive and self-directed - someone who identifies what needs to be done and acts without being asked
  • Strong written and verbal communication skills
  • comfortable drafting professional correspondence, briefing materials, and presentations
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • experience with CRM platforms or association management systems a plus
  • Collaborative team player who also thrives working independently
  • Flexibility and sound judgment in a fast-paced, high-visibility environment
  • Willingness to travel domestically to support conferences and industry events as needed

Job Duties

  • Coordinate logistics for industry conferences, association events, speaking engagements, board meetings, and sponsorship activations from pre-event planning through post-event follow-up and reporting
  • Manage the calendar of association memberships, renewals, dues payments, and sponsorship deliverables ensuring no deadline is missed
  • Track and organize executive commitments to boards, committees, and working groups
  • prepare briefing materials, agendas, and meeting summaries ahead of and following key engagements
  • Support coordination of Suffolk leaders and subject matter experts for panels, industry appearances, and external engagements including scheduling, travel logistics, and preparation materials
  • Maintain organized systems for tracking ROI metrics, engagement activity, and key contacts across association and partner relationships including managing data in CRM platforms
  • Assist with cross-functional coordination across Business Development, Marketing, Government Affairs, and Community Relations as it relates to industry engagement initiatives
  • Conduct research on new associations, industry events, and strategic partnership opportunities for the Director's review
  • Perform general administrative functions including scheduling, expense reporting, invoice processing, and file management in support of the team
