This position at the University of Rochester is a part-time Patient Unit Secretary role within the General Adult Psychiatry Nursing Department. The role is based at 601 Elmwood Ave, Rochester, New York, within a healthcare setting that supports patient care units. As a Patient Unit Secretary, you will provide essential clerical, receptionist, and customer service support to the nursing staff and patients while maintaining confidentiality at all times. The role is scheduled for 24 hours per week with work shifts during the day. Compensation for this position ranges from $18.75 to $25.44 per hour, as determined by the applicable collective bargaining agreement.

The Patient Unit Secretary plays a critical role in ensuring smooth operations on the patient care unit. Your duties will include transcribing patient care orders, scheduling tests and procedures, processing requisitions, and obtaining necessary patient care equipment and supplies. You will facilitate communication between nurses, physicians, other departments, and visitors, ensuring proper direction and courteous assistance. Additionally, you will be responsible for records management, patient admissions, discharges, transfers, and maintaining a clean and organized work environment.

You will utilize various office equipment such as telephones, intercoms, pneumatic tube systems, copiers, computer terminals, shredders, and fax machines to efficiently perform your duties. The role requires collaboration with multiple stakeholders on the unit while following supervisors’ directions during emergencies. Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year clerical experience
  • Ability to maintain confidentiality
  • Strong verbal and written communication skills
  • Basic computer proficiency
  • Knowledge of medical terminology preferred
  • Ability to work part time for 24 scheduled weekly hours

Job Qualifications

  • High school education and 1 year of clerical experience with demonstrated legible writing and verbal communication skills
  • Knowledge of medical terminology preferred

Job Duties

  • Provide clerical, receptionist and customer service on patient care units while maintaining confidentiality
  • Transcribe patient care orders
  • Schedule tests and procedures with other departments
  • Complete and process requisitions for tests, procedures and equipment
  • Obtain patient care equipment and/or supplies as requested by nurses and/or physicians
  • Notify department of equipment that is in need of repair
  • Participate in patient admissions, discharges and transfers according to unit requirements
  • Update patient care forms such as patient census and diet order listing
  • Greet and receive visitors and staff in a professional manner giving appropriate directions and guidance
  • Provide courteous and accurate telephone coverage
  • Take and deliver messages
  • Triage problems to appropriate person or department
  • Maintain record of patient location when off unit
  • Communicate and work effectively with other departments on patient, staff and unit related matters
  • Follow directions of nurses, physicians and other authorized personnel during emergencies
  • Order supplies/forms, assure their arrival and restock appropriately
  • Maintain clean and orderly work environment
  • Provide assistance on other units as necessary
  • Assist with patient transport as needed
