The Special Events Coordinator role within Gaylord Hotels is integral to the successful execution and smooth operation of all Special Events and Leisure Experience activities, such as ICE!, Best of Florida Christmas, SummerFest, and more. This position is responsible for assisting in the coordination and operational aspects of these events, which includes ensuring lighting, audio-visual setups, cleanliness, and system operations are functioning efficiently and up to standard. The coordinator regularly checks the status of all event components, addresses any aesthetic or technical deficiencies, and follows established training guidelines to support the Special Events Manager and Assistant Managers.

The role requires hands-on involvement in managing event software systems including those for ticketing, retail, inventory management, and space utilization. A key part of the coordinator's responsibilities includes monitoring financial and inventory records to resolve any discrepancies. This position demands a proactive approach to workplace safety and compliance with company policies, including accident reporting and maintaining professional appearance and confidentiality. Additionally, the coordinator plays a vital role in delivering excellent guest service by engaging guests warmly, anticipating their needs, and communicating effectively and professionally across various channels.
