The role of Scheduling Coordinator at Prime Power Services is pivotal to the success of the Field Service Operations team. This position involves coordinating preventive maintenance services for customers, ensuring that schedules are managed efficiently and that customer communications are handled professionally. The Scheduling Coordinator will play an essential part in managing service requests, updating scheduling systems such as T&M and PM scheduling, processing work orders, and maintaining communication with both customers and technicians. This role demands an individual with strong organizational skills, exceptional communication abilities, and a knack for multitasking. The Scheduling Coordinator is also responsible for managing the T&M Parts process and assisting with the documentation required for invoicing. Additionally, the role includes participating in a rotating on-call schedule to support continuous service operations.

Job Requirements
- High school diploma required
- Associate’s Degree strongly preferred
- Three years’ experience in service industry scheduling or dispatching
- Customer service experience required
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with WennSoft Service and/or Great Plains Software is a plus
Job Qualifications

Job Duties
- Schedule, quote, and discuss repair services with customers and technicians
- Accurately maintain daily, monthly, and annual T&M and PM scheduling systems including processing, updating, and auditing weekly schedules and work orders
- Maintain the T&M Parts process and communicate to the customer when parts have been ordered and received
- Maintain and research all month-end scheduling open tickets needed to process invoices
- Update customers on services and invoices both in person and over the phone
- Open work orders and update applicable systems with service history, as well as process and close work orders for completed work
- Process and respond to scheduling requests from customers, technicians, and engineers
- Communicate POC Site changes and submit items requiring Contract Amendment or Adjustment to Customer Account to the Contracts department
- Participate in a rotating on-call schedule
