The role of Group Sales Support at The Global Ambassador is designed to be the backbone of the sales team’s success. This position involves providing critical administrative and operational support to Group Sales Managers focused on group bookings and client interactions. Responsibilities include coordinating and assisting with site tours and property visits for prospective group clients, preparing entertainment group riders and operational documents, and assisting with reservation updates and rooming list adjustments. The Group Sales Support specialist also manages communications for corporate accounts and entertainment groups on property, monitors client emails and calls when Sales Managers are unavailable, and acts as the primary point of contact for new sales inquiries. Additionally, this role supports coordination of leisure and consortia sales, including managing amenity requests, executing last-minute VIP guest accommodations, and maintaining consortia welcome letters and guest collateral. The role supports travel advisor engagement by building and maintaining a database of travel agencies and advisors, assisting with email campaigns and marketing materials, and ensuring partner platforms remain current with rotating offers and promotions. The Group Sales Support specialist aids in sales operations by soliciting and managing small group business opportunities, assisting with monthly production reports, and supporting data organization and reporting. Administrative responsibilities also include preparing correspondence, reports, and presentations, maintaining departmental files and calendars, and facilitating interdepartmental communication. This multifaceted role requires exceptional organizational and multitasking skills, attention to detail, proficiency in Microsoft Office, and experience with hospitality systems such as TripleSeat, Cvent, or Opera. Job Duties

  • Provide administrative support to group sales managers related to group bookings and client communication
  • coordinate and assist with site tours and property visits for prospective group clients
  • prepare and update entertainment group riders, group resumes, and operational documentation
  • assist with reservation updates and rooming list adjustments for group bookings
  • support communication for corporate accounts and entertainment groups while on property, including assisting with text or WhatsApp requests as needed
  • monitor and respond to client emails and calls when sales managers are traveling or out of office
  • manage the incoming sales phone line, serving as the first point of contact for new inquiries
  • act as the team's lead catcher, building, qualifying, and assigning new leads to the appropriate sales manager
  • assist with follow-up communication after sales calls, trade shows, and client meetings
  • coordinate amenity requests and welcome arrangements for consortia and luxury travel advisor bookings
  • execute last-minute amenities for VIP leisure guests and consortia clients
  • prepare and manage daily welcome notes and amenities for American Express Fine Hotels & Resorts (FHR) and Centurion guests
  • maintain and restock consortia welcome letters and guest collateral to ensure readiness for arrivals
  • support reservation updates and changes for luxury travel advisor bookings
  • build and maintain a database of travel agencies and advisors from trade shows, sales missions, and industry events
  • assist with email campaigns, promotional flyers, and marketing materials for consortia platforms
  • ensure partner platforms remain current by rotating offers, packages, and promotions on a quarterly basis
  • review Agency360 reports and support targeted outreach to travel advisors and agencies not currently producing business
  • actively solicit and manage small group business opportunities through prospecting, networking, and lead follow-up
  • respond to RFPs, develop proposals, and negotiate contracts to close business
  • assist with preparation of monthly production reports and sales performance tracking
  • maintain accurate records of travel advisor engagement, outreach activity, and production data
  • support the sales team with data organization, reporting, and internal documentation
  • conduct quarterly reviews of top clients, including production analysis and opportunity identification
  • assist with weekly strategy report updates, ensuring accuracy of pacing, priorities, and key initiatives
  • prepare correspondence, reports, and presentations using Microsoft Office
  • maintain departmental files, calendars, and internal documentation
  • coordinate communication between Sales, Reservations, Front Office, and Guest Experience teams
  • support departmental initiatives, sales projects, and additional operational tasks as needed
