Job Duties
- Serve as the first point of contact by answering phones and greeting clients with professionalism and warmth, ensuring a welcoming experience
- Maintain an organized, clean, and professional office environment at all times
- Assist in the preparation and distribution of departmental reports in a timely and precise manner
- Collaborate with internal departments to ensure seamless communication and coordination for client needs and hotel events
- Provide administrative and logistical support for the sales and events team as directed by department leadership
- Manage lead inquiries via email, sales inbox, and internal communication channels
- Coordinate and build group room blocks and assist with booking VIP stays
- Send out confirmed event communications including email blasts and prospect management system updates
- Track group commissions and maintain accurate commission data
- Provide group folios upon request and assist with post-event follow-up
- Print and distribute group-related materials such as parking stickers and group resumes
- Send weekly reports including the Data Quality Report to the sales team
- Monitor and pull draft resumes every Monday for review by the Event Services Manager
- Perform other duties and tasks assigned by leadership
